The Operations Support Specialist provides operational and facility support to ensure the company's common areas, training facilities, conference spaces, and employee support areas are maintained to a professional standard. This position is responsible for coordinating facility readiness, supporting conference and training events, managing office and facility supplies, and ensuring shared spaces remain clean, organized, stocked, and prepared for employees, customers, and visitors.

Working closely with Maintenance, the cleaning contractor, and other internal departments, the Operations Support Specialist serves as the primary coordinator for facility readiness and supports selected operational administrative functions to improve communication and efficiency across the Operations organization.

Responsibilities:

Facility Readiness

  • Coordinate the daily readiness, organization, and presentation of the café, boardroom, conference rooms, training facilities, coffee bar, mother's rooms, and other employee common areas.
  • Coordinate with Maintenance and the cleaning contractor to ensure facility issues, cleaning needs, and room readiness are addressed promptly.
  • Conduct routine inspections of common areas to ensure they remain clean, organized, fully stocked, and maintained to company standards.
  • Coordinate the management of office, breakroom, coffee, beverage, and facility supplies to ensure adequate inventory is maintained.
  • Serve as the primary Operations contact for coffee, beverage, vending, office supply, and facility-related vendors.

Conference & Event Support

  • Coordinate conference and training event logistics, including room setup, seating arrangements, meals, snacks, beverages, signage, and room preparation.
  • Remain actively engaged during training events and meetings to ensure conference areas remain clean, organized, stocked, and professionally maintained throughout the event.
  • Coordinate with internal departments and vendors to support meetings, customer visits, training sessions, and special events.
  • Ensure conference rooms and common areas are restored and ready for normal operations following events.

Operations Administration

  • Coordinate employee timecard administration and support supervisors with timekeeping processes.
  • Provide administrative support for the Operations department, including maintaining records, preparing reports, organizing documents, and supporting departmental initiatives.
  • Coordinate office supply inventory and replenishment for the Operations organization.
  • Support new employee readiness by ensuring workspaces and operational resources are prepared as requested.
  • Assist with departmental communications, scheduling, and special projects as assigned.

Operations Coordination

  • Provide coordination and administrative support between Operations and other departments to improve communication and operational efficiency.
  • Identify opportunities to improve facility readiness, operational support processes, and the overall employee experience.
  • Support departmental initiatives that enhance organization, communication, and continuous improvement.
  • Perform other duties as assigned in support of departmental and organizational objectives.

Qualifications

Education & Experience

  • High school diploma or GED required; Associate degree in Business Administration, Hospitality Management, Operations, or a related field preferred.
  • Minimum of three (3) years of experience in operations support, administrative support, office management, facilities coordination, hospitality, or a related role.
  • Experience coordinating meetings, events, or facility operations preferred.
  • Experience working in a manufacturing or industrial environment preferred.
  • Experience with Microsoft Office applications, including Outlook, Excel, and Word.

  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills with the ability to build effective working relationships across departments.
  • Demonstrated ability to coordinate multiple activities while maintaining a high level of professionalism and attention to detail.
  • Strong customer service mindset with a focus on creating a positive employee and visitor experience.
  • Ability to work independently while supporting a collaborative team environment.
  • Proficiency with Microsoft Office applications.
  • Strong problem-solving skills with a proactive approach to supporting operational needs.

Physical Demands:

  • Ability to lift up to 30 pounds and assist with event setup and teardown.
  • Ability to stand for extended periods of time.
