Operations Support Coordinator

Department: Holt Industrial Air Sys (HIA)

Employment Type: Full Time

Location: HIA - Houston


HOLT Industrial Systems in Houston, Texas is looking for a Operations Support Coordinator. This position is responsible for the preparation, planning, and follow-up of Maintenance agreements and Other Operational processes as needed. Provides assistance on improving product support efficiencies and maximizing customer satisfaction. This includes agreement renewals, quoting assistance, organizing, billing using both internal and external systems, documentation, and filing of paperwork. We are located at 8640 Panair Street, Houston, TX 77061. The hours for this position are Monday through Friday 8:00 AM to 5:00 PM, in person.

The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.

Key Responsibilities

  • Models, promotes, reinforces, and rewards the consistent use of HOLT’s Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission
  • Maintains Maintenance agreements using resources found in Sage and other Business Systems
  • Assists with maintaining an accrual account system for the tracking of customers who make advance payments for services not yet rendered, thereby, separating regular service payments from Service Agreement payments not currently chronicled in our existing company accounting system
  • Manages all “interval” billing through appropriate systems
  • Maintains a contract renewal plan with input from Sales Reps
  • Opens and closes internal and external work orders utilizing customer or OEM portals for preventive, corrective, and warranty services
  • Issues and receives Purchase Orders, maintains all associated paperwork
  • Assists with customer relations/service of our current and potential customers
  • Requires regular and punctual employee attendance
  • Works safely always and adheres to all applicable safety policies; complies with all company policies, procedures, and standards
  • Performs other duties as assigned

Skills, Knowledge & Expertise

· Excellent oral and written communication skills
· Exceptional organizational, time management, and multi-tasking skills
· Knowledge of business accounting principles
· Computer proficiency and technical aptitude to utilize various MS Office products, and other job-related software
· Ability to interact with tact and courtesy and maintain a professional manner
· The ability to read and understand information and ideas presented in writing
· The ability to listen to and understand information and ideas presented through spoken words and sentences
· The ability to work independently as well as part of a diversified team

Education & Experience

High School Diploma or equivalent required
College preferred
Minimum three years of job-related experience preferred

Travel: · Up to 25% travel may be expected
