About the department

The Aftersales department within BYD Europe oversees all aspects of Service & Maintenance for our full electric buses and trucks. The Operations Support Team is the operational backbone of the department, responsible for project coordination, process optimization, administrative management, and cross-functional communication. By working closely with internal stakeholders, service partners, and customers, the team keeps the After-Sales network running efficiently and supports its continuous growth in a dynamic, fast-paced environment where proactive problem-solving and operational excellence are key to success.

About the role

As Operations Support Administrator, you will manage the end-to-end lifecycle of service and commercial contracts within BYD Europe’s Commercial Vehicle After-Sales Operations. The role centres on cross-functional coordination, contract alignment, and execution control — ensuring that contractual commitments are clearly understood, internally aligned, and practically executable across projects and regions. Acting as a key interface between Legal, Commercial, Regional Management, and Operations, you will drive consistent contract interpretation and enable smooth contract implementation with both internal stakeholders and external partners. The Aftersales department is based at the BYD Europe B.V. HQ in Schiedam (NL).

Responsibilities

The Operations Support Administrator is responsible for:

• Owning the end-to-end contract lifecycle for service and commercial agreements — from drafting support and internal review coordination through negotiation alignment, execution, and archiving.
• Coordinating the contract execution process, including internal approval and signature workflows, signature and counter-signature tracking, and the distribution and archiving of fully executed agreements.
• Recording and maintaining key contract data — parties, effective dates, expiry dates, notice periods, and key obligations — in a centralized contract management database to enable efficient tracking and reporting.
• Proactively monitoring contract expiry and notice-period timelines, and initiating timely alignment with Regional Managers and Management on renewal or termination decisions well ahead of contractual deadlines.
• Reviewing contract terms for alignment with operational processes, service-delivery capability, KPI feasibility, and project-specific requirements, and resolving inconsistencies, gaps, or impractical clauses before finalization.
• Driving consistency across interrelated agreements to prevent misalignment between contractual commitments and execution capability.
• Serving as the central coordination point between Legal, Commercial, Regional Managers, and Operations throughout the contract process, consolidating internal feedback to support review and decision-making.
• Translating complex contract content into clear internal action points, accurate external communication for customers and service providers, and proactive guidance on required inputs, deliverables, timelines, and next steps.
• Supporting the reconciliation and alignment of bilingual or multi-version contracts (e.g. German–English), ensuring consistency in structure, meaning, and compliance.
• Maintaining up-to-date records of contract status, key milestones, and upcoming actions to give Management a clear contract-portfolio overview.

Skills, qualifications, and experience required

• Bachelor’s degree in Business Administration, Operations Management, or a related field.
• 3–5 years of experience in contract management, operations coordination, project coordination, or a similar role.
• Experience in automotive, commercial vehicles, after-sales, or service operations is a strong advantage.
• Strong cross-functional coordination and stakeholder management skills.
• Strong written and verbal communication in English (Chinese or additional European languages a plus).
• Solid understanding of operational processes and service-delivery models.
