Job Description

POSITION SUMMARY:

The Operations Supervisor coordinates and monitors daily administrative and financial operations for the assigned department(s) within an ambulatory or hospital-based setting. Under general supervision, this role serves as the primary administrative liaison, managing workflow and supervising professional and clerical staff to ensure efficient operational flow and high-quality service delivery. The position exercises direct supervision over department administrative personnel and unit coordinators to support the strategic operational goals of the business unit.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Staff Supervision & Performance Management: Supervises, trains, and assigns tasks to administrative personnel and unit coordinators; manages the onboarding/orientation process in collaboration with department educators and conducts annual performance appraisals to ensure compliance with departmental standards.
  • Workflow & Quality Control: Manages daily administrative workflow and monitors the quality of work within the assigned group to ensure efficient operations, timely completion of tasks, and adherence to regulatory and hospital guidelines.
  • Schedule & Payroll Coordination: Coordinates and maintains the monthly staff schedule; tracks hours, leaves, and time off to compile and submit accurate weekly timesheets to management or the Payroll Department.
  • Employee Relations Support: Serves as the first point of contact for employee benefit and payroll inquiries, and partners with managers and Human Resources to resolve basic employee relations issues.
  • Office & Inventory Management: Oversees the maintenance of departmental files, manuals, and records; monitors supply inventories and equipment functionality to handle purchasing within the established budget and coordinate necessary IT or vendor repairs.
  • Administrative & Communication Support: Manages departmental correspondence, handles phone inquiries with a professional manner, and creates reports, spreadsheets, and presentations to support data-driven decision-making.
  • Meeting & Event Coordination: Plans, organizes, and coordinates departmental meetings, receptions, and functions, including managing schedules, catering, and audio-visual/technology setups.
  • Compliance & Operational Support: Maintains data confidentiality regarding professional and patient issues (e.g., correspondence, billing, test results) while conforming to hospital standards of performance, infection control, and safety procedures.

JOB REQUIREMENTS

REQUIRED EDUCATION AND EXPERIENCE:

  • A Bachelor's degree, or at least three years of experience in a similar medical office setting, is required

  • 1 year supervisory experience

KNOWLEDGE, SKILLS & ABILITIES (KSAs):

  • Knowledge of clinical operations, hospital financial tracking, human resources policies, and physician reimbursement regulations.
  • Ability to mentor, guide, and motivate direct reports through demonstration of best practices.
  • Oral and written communication skills to handle internal and external stakeholder interactions professionally
  • Ability to prioritize and manage multiple administrative projects simultaneously and produce expected results.
  • Proficiency using personal computers, computerized healthcare information systems, word processing, spreadsheets, and presentation applications.
  • Critical thinking, analytical, and problem-solving skills to resolve workflow and administrative inefficiencies.

Compensation Range:

$51,500.00- $75,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
