JOB OVERVIEW
The Operations Specialist II supports the KTAC Claims team by ensuring accuracy in financial, licensing, salvage, and claims processes. Working with the Senior Business Specialist, this role reviews data, prepares routine reports, documents procedures, and assists with system and process improvements. The position helps resolve operational issues, contributes to training materials, and provides day to day support to maintain smooth claims workflow.
KEY RESPONSIBILITIES
This position does the following in accordance with all applicable Federal, State and local laws / regulations and the Company’s policies, procedures and guidelines:
- Assists the Senior Operations Specialist in daily payment reconciliation activities and resolves policy activation errors to ensure accurate and timely financial processing.
- Assists the Senior Operations Specialist with salvage and recovery activities, including identifying eligible items, logging and tracking salvage assets, coordinating auction listings, and ensuring timely collection of recovered funds.
- Assist the Senior Operations Specialist in preparing and delivering monthly, quarterly, and ad hoc operational and financial reports for the accounting department.
- Assists the Senior Operations Specialist with maintaining accurate dealer licensing records and conducting routine audits to ensure compliance with regulatory and internal requirements.
- Process monthly dealer commission statements, including validation, reporting, and issuance of manual checks as needed.
- Provide backup support in preparing and issuing dealer collection notices for outstanding licensing fees in alignment with departmental policies.
- Maintain and update the sub producer agreement log to ensure accuracy, completeness, and compliance with regulatory guidelines.
- Provide backup support in managing inbound mail and coordinating the distribution of department email and physical correspondence.
- Maintain and update daily claims call reports to support operational tracking and performance metrics.
- Provide backup support to Claims Administrators by processing daily claims during peak periods or staff absences.
- Provide backup support to the Senior Operations Specialist in serving as an escalation point for complex customer and dealer claims inquiries, providing timely and professional resolution.
- Assist the Senior Operations Specialist to develop, document, and maintain comprehensive process guides, workflows, and standard operating procedures (SOPs) for all KTAC claims processes, including training of new employees.
QUALIFICATIONS
- HS Diploma/ GED with at least 3 years of claims administration of office administration duties required.
- Bachelor’s degree preferred:
- With a degree, at least 1 year of insurance claim administration or office administration experience required.
- 2+ year(s) of insurance claim processing and sales or financial reporting
- 2+ years of administrative experience
- Experience with Microsoft Office Suite (Excel proficiency a plus)
- Extensive interpersonal communication and telephone skills - must be friendly and responsive
- Strong analytical and problem-solving skills
- Ability to communicate diplomatically and with tact to a diverse audience at varying levels both within and outside of the organization
- Report building skills
- Experience in insurance license and appointment process is a plus
- Must be able to multitask and solve problems by reviewing data and/or situations and making recommendations for solutions to the issues.

PHYSICAL REQUIREMENTS
- Typical office environment. The position will require walking, standing, and sitting at a computer.
