Operations Specialist – JLL
What this job involves:
As an Operations Specialist at JLL, you will be directly responsible for working with a team to deliver challenging construction projects. Your continuous development of skills and adoption of new technologies, process and compliance will be key to the impact you will have in this role. You will assist in ensuring project related documentation complies with account specific guidelines, track vendor financials, and ensure timely and accurate closeout of assigned projects. Your knowledge of project management from start to finish will speak to your ability to support your team in delivering construction projects.
What your day-to-day will look like:
Review and validate project documentation to ensure compliance with account-specific guidelines and JLL quality standards, maintaining accuracy across all project phases
Track and reconcile vendor financials, purchase orders, and invoices to ensure budget alignment and timely payment processing for assigned construction projects
Coordinate project closeout activities, including final documentation collection, financial reconciliation, and compliance verification to ensure seamless project completion
Analyze project data and generate reports that provide actionable insights to project managers and clients, highlighting trends, risks, and opportunities for process improvement
Collaborate across service lines and with internal stakeholders to support project teams with research, data accuracy verification, and technology tool optimization
Maintain project management systems and databases, ensuring data integrity and accessibility for team members and clients throughout the project lifecycle
Proactively identify process inefficiencies and recommend improvements that enhance team productivity, client satisfaction, and project delivery timelines
Required Qualifications:
Minimum 2 years of project coordinator experience with demonstrated ability to manage multiple projects, competing deadlines, and shifting priorities simultaneously
Exceptional organizational and analytical skills with proven ability to synthesize complex data into clear, actionable insights and recommendations
Excellent written and verbal communication skills, with ability to clearly explain detailed processes and technical information to diverse audiences
Working knowledge of construction costs, schedules, and project lifecycle from initiation through closeout, including familiarity with vendor management and financial tracking
Detail-oriented mindset with strong quality control capabilities and commitment to accuracy in documentation and data management
Demonstrated ability to work both independently with minimal supervision and collaboratively as an integral team member in fast-paced environments
Preferred Qualifications:
Bachelor's degree from an accredited institution in Construction Management, Business Administration, Project Management, or related field
Previous experience supporting retail or banking construction management projects, with understanding of the unique requirements and compliance considerations in financial services real estate
Familiarity with industry-specific compliance requirements, procurement processes, and documentation standards within corporate or financial services environments
Experience with construction project closeout procedures, including final documentation compilation, warranty tracking, and lessons learned documentation
Exposure to process improvement methodologies or experience identifying and implementing operational efficiencies within project delivery teams
Basic understanding of construction contracts, change order management, and vendor performance evaluation processes
Comfort with data visualization tools and reporting platforms that support client-facing presentations and executive-level communications

Estimated compensation for this position:
65,000.00 – 70,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
