Job Description

PURPOSE/OBJECTIVE:

The Wealth Management Operations Specialist supports daily operational functions across the Wealth Management platform, ensuring timely, accurate, and compliant processing of client account and transactional activities. The role supports onboarding, asset movement, cash management, billing, reconciliations, securities processing, vendor platforms, and operational risk controls while partnering with Client Service, Compliance, Finance, custodians, and external vendors. Consistent performance with accurate execution, a keen sense of urgency and deadlines, and end to end vision of data, client, and Bank impact is expected.

MAJOR RESPONSIBILITIES:

Administrative:

  • Account Opening & Maintenance: End-to-end processing of new and existing accounts, documentation validation, OFAC screening, custodian setup, fee configuration, and data integrity management.
  • Asset Movement & Transfers: Processing of internal, external, and complex transfers, stock gifts, and cost basis validation.
  • Cash Management & Banking Operations: Posting of cash, ACH, check, and wire activity; daily and monthly reconciliations; wire investigations.
  • Billing & Fee Administration: Fee setup, maintenance, accruals, collections, adjustments, and reporting.
  • Securities Processing & Corporate Actions: Corporate action elections, class action processing, settlements, and documentation.
  • Reconciliations & Reporting: GL variance research, settlement reporting, house account and vault reconciliations.
  • Operational Controls & Compliance: IRS and regulatory compliance, SOP maintenance, audit support, escheatment, BCM activities.
  • Custodian & Vendor Administration: User access, platform administration, vendor monitoring, and change management.

PROBLEM SOLVING & DECISION MAKING:

Exercises judgment in resolving operational discrepancies and compliance exceptions within established procedures. Escalates complex issues and contributes to process improvement and risk mitigation.

Education and Experience
• 2–4 years of relevant operations experience
• Bachelor's degree in Accounting, Finance, or a related field is preferred.


Skills/Knowledge
• Proficient PC skills in Microsoft Office Suite productivity applications (e.g., Excel, Teams, etc.).
• Strong written and oral communication skill.
• Highly organized, capable of managing multiple tasks, meeting strict deadlines, and working well in a team environment.


Working Conditions

PHYSICAL DEMANDS

While performing the duties of this job, the employee must be able to remain in a stationary position 50% of the time. The employee frequently is required to operate a computer and other office productivity machinery, such as a calculator, copy machine, and printer. The employee is occasionally required to move about inside the office to access file cabinets, office machinery, etc. They also occasionally travel to locations outside of the facility, to attend meetings, trainings, events, and other business activities. The employee occasionally positions self to maintain or access files in file cabinets. The employee must have the ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations. The employee frequently observes details at close range (within a few feet of the observer). The employee must occasionally lift and/or move boxes or equipment up to 20 pounds across office for various needs.
