Job Description

Crane Worldwide Logistics is a leader in supply chain solutions with over 130 locations across 30 countries providing individual services that address our client's logistics challenges.

We are seeking a detail-oriented and proactive Operations Specialist to join our CIT Operations Support team. The role focuses on Ocean and Air Export & Import operations, including end-to-end shipment handling, invoicing, and system updates. This is a backend operations role requiring strong coordination skills, adherence to SOPs and SLAs, and familiarity with freight forwarding processes and systems.

Key Roles & Responsibilities:

Ocean / Air Export Operations

  1. Provide operational support to the front-end team for daily activities.
  1. Prepare and submit Shipping Instructions (SI) and VGM on carrier portals.
  1. File AMS & ISF on the Descartes platform.
  1. Update enterprise applications with complete and accurate shipment details.
  1. Track and trace shipment loading plans and update status in the system.
  1. Maintain Smartsheet data with high accuracy and timeliness.
  1. Create export shipment files as per SOP in enterprise applications.

Ocean / Air Import Operations

  1. Manage Pre-alerts received from origin teams and validate them in TMF as per client SOP.
  1. Ensure pre-alert confirmations are completed within agreed SLAs.
  1. Coordinate with origin teams to resolve discrepancies in pre-alerts.
  1. Maintain Smartsheet data quality to ensure visibility for front-end operations.
  1. Perform customer billing and invoicing as per Lane ID and agreed SOPs, ensuring SLA and quality compliance.
  1. Validate vendor invoices against agreed rates and raise discrepancies where applicable.
  1. Track and trace arrival shipments to Germany ports and update estimated and actual milestones based on carrier information.
  1. Upload commercial invoice, packing list, and HBL into Smartsheet against respective shipments.
  1. Manage key accounts and provide timely operational support for client requests.
  1. Create import shipment files as per SOP in enterprise applications.

C2C Application

  1. Process CIPL and Delivery Notes in the C2C system.
  1. Ensure timely and accurate entries in the C2C application.

Required Skillset:

  • Proficiency in Microsoft Outlook and Office 365 applications
  • Typing speed: 20–40 WPM
  • Strong teamwork and collaboration skills
  • Must be a team player and support and guide team members on day-day operations.

Additional Skills:

  • Excellent communication skills with the ability to interact effectively with internal stakeholders and clients
  • Proactive mindset with openness to learning and implementing new processes and solutions
