The Operations Scheduler plays a central role in coordinating and optimizing daily operational activities to ensure efficient workflow and on‑time delivery of transit services. This position is responsible for monitoring resource availability, and adjusting plans in response to changing priorities or operational constraints. The Operations Scheduler collaborates closely with cross‑functional teams — including route supervision, training, maintenance,and leadership — to balance workloads, minimize downtime, and support overall organizational performance. Success in this role requires strong analytical skills, attention to detail, and the ability to work and communicate clearly in a fast‑paced environment.

Please note that this position requires working various shifts, including overnights, weekdays, weekends, and holidays, as this is a 24-hour operation.

Duties and Responsibilities

Reporting to the Operations Supervisor - Scheduling, the successful candidate will:

  • Allocate daily resources (vehicles and operators) in accordance with the HASTUS schedule and daily demands.
  • Work with Operations Routes team including Route Supervisors and other Service Delivery staff to meet dailyservice delivery requirements with minimizing service cancellation and effectively assigning overtime work.
  • Monitor HASTUS to ensure accurate recording of operator check-in and work assignments.
  • Ensure all open work is covered effectively on a daily basis, and in accordance with established policies and procedures, relevant legislation (ESA, OHSA, and HTA) and the Collective Agreement.
  • Utilize spareboard operators effectively to prevent and/or minimize interruption to daily service delivery.
  • Schedule and assign operators’ overtime work, administer and process overtime forms, adjust crews in HASTUS and ensure proper overtime procedures are adhered to.
  • Maintain accurate records related to operator attendance and administrative requests to support Operations Supervisors/Managers’ approval and follow up.
  • Prepare and process scheduled work based on calendar signup dates.
  • Prepare the daily vehicle parking plan and monitor the daily utilization of buses and change off cars in the garage and transit facilities.
  • Maintain close liaison with Control, Maintenance and the Operations Supervisors to ensure minimal service disruption on-road.
  • Monitor and report any violations of Transit rules and regulations.
  • Performs other related duties as required.

Skills and Qualifications

  • Graduation from Secondary School required and Post Secondary education preferred.
  • Must be available to work various shifts including Saturdays, Sundays and Holidays as this is a 24 hour operation.
  • Excellent analytical and decision making skills matched by strong attention to detail.
  • Comfortable with using computerized systems.
  • Must be able to work in garage and transit facilities, in all weather conditions, walking, standing and sitting for extended periods during the shift.
  • Be able to multitask in a fast paced environment.
  • Demonstrated ability in customer service, communication, team work, initiative/self-management, accountability and adaptability.
  • Ability to maintain an effective working relationship with all employees in a unionized environment.
  • Familiar with scheduling software or garage management software like HASTUS, TOS, Trapeze Scheduling Suite or similar software.
  • Transit operations experience would be considered an asset.

Hourly Rate/Salary: $34.04 - $45.39
Hours of Work: up to 40 hours
