Do you love creating order out of chaos? Are you highly organized, calm under pressure, and good at keeping many moving pieces on track?
We are a growing, locally owned home services company specializing in custom closets, garage cabinetry, and epoxy flooring throughout Southern Maine. We are looking for an Operations & Project Coordinator to help keep projects moving, act as a bridge between sales and production teams, and ensure an exceptional customer experience from sale through installation.
This is a high-responsibility role in a fast-moving small business and is best suited to someone who enjoys ownership, problem-solving, and keeping many moving pieces organized.
The right person will thrive on systems, communication, and accountability — and will take pride in helping projects run smoothly and ensuring customers feel taken care of.
Project and Team Coordination
· Help manage jobs from sale through installation
· Serve as a communication bridge between sales, office, warehouse, and installation teams
· Support salespeople by helping monitor project flow and follow-through
· Help identify process gaps, recurring issues, or bottlenecks and recommend improvements
· Track project timelines and proactively resolve bottlenecks
· Maintain visibility across approximately 30+ active jobs at a time
Operations Administration
· Assist with process development/maintenance in CRM and project management apps like CompanyCam.
· Maintain updated project and training files internally
· Ensure project readiness for purchasing and submit vendor orders
· Coordinate purchasing, vendor communication, and operational details
· Coordinate with Production Manager to ensure job readiness and ensure details do not fall through the cracks
Customer Experience
· Communicate professionally with clients regarding scheduling and project questions
· Help create a polished, organized, high-end customer experience
· Troubleshoot issues calmly and professionally when problems arise

· Experience in home services, construction, real estate, design, or project coordination
· Experience coordinating vendors, schedules, or logistics
· Experience managing people or helping teams stay organized and accountable
· Comfort reviewing numbers, KPIs, or operational performance
