Highly organized and love keeping things running smoothly behind the scenes? Join our team as an Operations Office Administrator and play a key role in keeping projects on track and operations moving efficiently.

This is a fast-paced, detail-driven role where you’ll support scheduling, documentation, and data tracking across multiple teams. If you thrive on organization, accuracy, and being the backbone of a busy operation, this is the role for you.

What You’ll Do

  • Manage install schedules in coordination with subcontractors.
  • Prepare job packets and required documentation.
  • Maintain tracking spreadsheets and internal systems.
  • Support invoice documentation and validation processes.
  • Track permit status and ensure job readiness.
  • Monitor completion of required documentation (as-builts, site capture, etc.).
  • Build and adjust schedules to meet operational needs.
  • Confirm job readiness and communicate updates to internal teams.
  • Update dashboards and maintain accurate records.
  • Provide data and administrative support to Project Managers and Subcontractor Managers.

Equipment You’ll Use

  • Microsoft Office (Excel, Outlook, Word)
  • CRM and internal tracking systems
  • Scheduling and reporting tools
  • Adobe Acrobat for document management

A Typical Day

  • Review schedules and adjust based on project needs
  • Prepare job documentation and ensure readiness
  • Track permits, approvals, and project status
  • Update dashboards and maintain accurate data
  • Support operations teams with reporting and coordination

What We’re Looking For

  • Experience in administration, operations, or project coordination
  • Strong organizational and time management skills
  • High attention to detail and data accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and problem-solving skills
  • Proficiency in Microsoft Office (especially Excel)
  • Experience with CRM or tracking systems is a plus
