Ensure that operational and asset strategies are put into practice in the most effective and efficient way in order to fulfil the purpose of the function. Be a strong contributor to the management team; provide operations matter expertise and processes to reach company objective.

With the support of the operations team, apply operational excellence into our business through implementing consistent monitoring & reviewing of our commercial & operational processes to ensure efficiency & productivity in all areas of business and practising a long-term asset maintenance plan to ensure that the building is kept in shape as new. Develop and plan best practises framework processes and procedures in line with the IKEA group risk manual.

Your assignment

Operational Excellent

  • Operations strategy, Operations plan, goals and objectives.
  • Operations budget, expenses and income.
  • Prepare monthly report which includes analysis and update on goals & KPIs, cost efficiency plan, vendors performance as well as responsible in budgeting & forecast, contract review & negotiations and House Rules enforcement.
  • Ensure the shopping centre is secure, safe and well maintained – every day in shape as new.
  • Ensure shopping centre is the preferred landlord on the market by providing outstanding cooperation and excellent customer service to the centres tenants.
  • Ensure tenants get relevant service in due time, example: by means of following up response time on tenants enquiries.
  • Perform, develop and evaluate all activities related to the physical operation of the centre including but not limited to the operations in the fields of Security & Safety, outsource & subcontractors, other operational activities on-site.
  • Actively manage and develop sustainability and CSR programs in line with the company objectives.
  • Manage the functions business plan, keeping it updated and ensuring that all proposed plans are executed in an efficiently and timely method.
  • Prepare financial projection of the capital expenditure and the operational budget.
  • Conduct the operational and progressive report.
  • Monitor contracts for compliance and cost control.
  • Maintain partnering relationship with vendors, suppliers, and contractors while ensuring they deliver best products and services at minimum expenses.
  • Accountable for investigation and reporting of internal and external incidents and accidents in line with IKANO and local legislation requirements, recommending resolution and revision of routines as necessary.
  • To co-ordinate, the insurance claims procedures. Liaise with Ikano Retail Risk and Compliance Manager, insurance brokers, and local insurance companies, as required. Conduct root cause analysis to reduce incidents from recurring.

Building Business Competence

  • Coach, educate and develop staff; ensuring growth and exceeding set goals.
  • Develop and / or update and implement operations guidelines, standards and procedures in accordance with the company’s standards and legislation.

Car Park Operations

  • Ensure that the car park is managed well and is in good operating order.
  • That SOPs are adhered to, reviewed and updated accordingly.

Safety and Security

  • Support the Safety, Security and Health Officer to ensure compliance with legal requirements and Ikano Group RISKS Safety and Security Manual.
  • To ensure the Shopping Centre environment is safe for our co-workers, tenants and customers.
  • To ensure the safety and security operating systems are developed, designed, and installed to meet IKANO requirements and local legislation.

Landscaping

  • To work with appointed outsource contractor to maintain the landscaping.

Housekeeping

  • To work with appointed outsource contractor to maintain general cleaning of the Shopping Centre, carpark and building perimeter.
  • To secure high service level & competency of service providers by identifying improvement gaps and implementing periodic performance review.
  • Cost management of consumable items through effective inventory control and usage.

Sustainability and Waste Management:

  • To implement and drive sustainability initiatives and CSR efforts.
  • Liaison person for Sustainability and CSR initiatives for the Shopping Centre.
  • To work with appointed outsource vendors in operating Recycling Buy-Back Centre (RBBC) and support the waste management plan towards zero waste goals.
  • To develop profitability and cost efficiency plans in managing the RBBC.
  • Act as a responsible partner internally and externally, committed to creating a positive impact on people and the planet by taking relevant actions that contribute towards our long-term sustainability objectives.

Miscellaneous

  • Contribute actively in various meetings.
  • Ability to substitute the Shopping Centre Manager and be a regular Senior Duty Manager.
  • Lead the operations team in different assignments, working efficient in a matrix organization.
  • Ability to produce structured reporting and possess strong communication skills both in writing and oral form.

Qualifications

  • Minimum 5 years in operation role, retail/shopping centre preferred.
  • Highly independent, organized and able to work under pressure to meet deadlines in a multi-tasking environment.
  • Proven managerial and leadership, technical background from large organization.
  • Proven analytical and strategic thinking skills.
  • Proven stakeholder management skills.
  • High drive and motivation.
  • Financial responsibility and budgeting experience.
  • Organizational and multitasking, well prioritizing skills.
  • Ability to produce structured reporting and possess strong communication skills both in writing and oral form.
  • Commercial awareness and customer service-oriented approach.
