Your Role:

We are seeking a detail-oriented and results-driven Purchasing Operations Manager to oversee and optimize the Operational Purchasing Team. This role involves managing a team responsible for timely and accurate processing of Purchase Requisitions to be converted into Purchase Order, resolving Purchase Order discrepancies, and maintaining compliance within company policies and regulations. The ideal candidate should have strong leadership skills, deep knowledge of Purchasing Process, and experience working with ERP systems to drive efficiency and accuracy in Procurement.

Key Responsibilities:

Team Leadership & Development

  • Manage and lead the Operational Purchasing Team, ensuring high levels of accuracy, timeliness, and productivity.
  • Provide coaching, performance evaluations, and professional development opportunities for team members.
  • Foster a collaborative and results-oriented team culture.

Operational Oversight

  • Oversee the day-to-day operations of Operational Purchasing, including PR review and conversion to Purchase Order
  • Monitor and ensure compliance with internal controls, company policies, and regulatory requirements.
  • Develop and maintain key performance indicators (KPIs) to track and improve operational efficiency and accuracy.
  • Handle escalated issues related to Purchase Order discrepancies, vendor communication and internal stakeholders engagement.

Process Optimization

  • Identify opportunities to improve processes, reduce errors, and enhance the efficiency of Purchasing.
  • Partner with cross-functional teams, internal stake holders including procurement and finance, and external customers to resolve root causes of recurring issues.
  • Implement automation and technology solutions where applicable to streamline operations.

Stakeholder Collaboration

  • Serve as the primary point of contact for internal and external stakeholders regarding Purchasing Inquiries.
  • Collaborate with vendors to resolve PO-related issues and ensure smooth processing.
  • Work closely with the accounts payable, procurement, and finance teams to ensure alignment and timely resolution.

System Management & Reporting

  • Maintain deep expertise in ERP systems, ensuring the team leverages system functionality effectively for PO processing.
  • Provide regular reports on processing metrics, issues, and resolutions to senior management.
  • Ensure data accuracy and integrity in all PO-related transactions and records.

Who you are;

  • Bachelor’s degree in Finance, Accounting, Business Administration, or any related field.
  • 10+ years of experience in Operational Purchasing, Supply Chain or other fields, with at least >5 years in a managerial role.
  • Strong knowledge of Purchasing processes, and ERP systems (e.g., SAP, Oracle).
  • Experience with process optimization and implementing automation tools.
  • Excellent problem-solving, organizational, and analytical skills.
  • Strong communication and interpersonal skills to effectively interact with team members, vendors, and internal stakeholders.

  • Stakeholder Engagement: Ability to build and maintain strong relationships with internal and external partners.
  • Process Improvement: A continuous improvement mindset with experience streamlining processes in finance and technical operations.
