If you said yes to these questions, consider joining our team of thirteen (13) dedicated professionals as our first Operations Manager! We’re looking for a high-agency Operations Manager to work on-site directly alongside the founder of a small, but growing, skincare company based in Concord, CA, that creates products that produce clinical results, while tapping into whole-plant wisdom and focusing on inclusiveness in the beauty space.

The Operations Manager will serve as the central project manager and operational point person, helping coordinate product launches, marketing execution, manage the company’s social media, provide support to our vendors, our creative partners, our professional accounts, and our customers while handling the day-to-day business priorities. This is a hands-on, roll-up-your-sleeves position for someone who loves creating order from complexity, thrives in a fast-moving entrepreneurial environment, and knows how to take ideas, priorities, and unfinished projects and move them through to completion without constant direction and/or oversight.

Knowledge Skills and Abilities

• At least three (3) years’ experience in operations, project management, marketing operations, brand management, or a similar cross-functional role in a start-up environment.
• Demonstrable project management skills. Exceptionally organized, dependable, resourceful, and proactive with the natural ability to follow up and close loops.
• Proven track record managing multiple projects, partners, and deadlines without losing track of details. Can prioritize effectively without constant direction.
• Intermediate to advanced competency with Google Workspace Suite and/or spreadsheets.
• Intermediate to advanced competency with ChatGPT, Claude or other modern AI tools. Ability to use AI thoughtfully for writing, research, organization, project management, and workflow efficiency. Understands that AI is a working tool, not a substitute for judgment, fact-checking, or strong writing.
• Familiarity with project management tools (e.g., Asana, AirTable, MS Project).
• Familiarity with social media management platforms (e.g., Buffer, Hootsuite, Sprout Social).
• Familiarity with omni-channel marketing tools (e.g., Klaviyo, OmniSend, ActiveCampaign).
• Strong written communication skills. Able to take rough notes, voice memos, feedback, or a creative brief and turn them into a strong first draft.
• Strong verbal communication skills. Comfortable communicating directly with customers, vendors, consultants, creators, and professional partners.
• Proven ability to create systems that make work easier rather than more complicated.

Preferred Qualifications

• Previous experience in the beauty industry.
• Project management certification (e.g., CAPM, PMP).
• Previous e-commerce experience.
• Experience integrating diversity, equity, and inclusion principles into organizational decision-making.
• Previous experience working in a start-up environment with fast-moving, creative principal(s).

• Proactive ability to anticipate and recognize operational needs and present solutions.
• Ability to recognize when to move independently and when something genuinely needs founder input.

Physical Requirements

This position works primarily in an open office environment while regularly accessing the warehouse/production areas. Able to perform the following duties with or without accommodation:

• Traverse between the office area and the warehouse/production floor frequently throughout the day to execute duties.
• Stand/sit for the duration of the scheduled shift. Sit at a desk, conference room or workstation for more than three (3) hours at a time.
• Able to operate computer and mobile devices.
• Safely able to lift, move and transports items weighing up to 25 lbs.
• Communicate in clear speaking voice in person, before large audiences and over audio or video-based communications applications (e.g., phone, Zoom).

Compensation & Benefits

This is a full-time, exempt on-site position working Monday through Friday, 8:30 a.m. to 5:00 p.m., with occasional evening and weekend hours (40 hours per week) at our Concord facility. The company offers a competitive compensation and benefit package including:

• Health & Welfare Plans: The company covers 75% of employee premiums on our Kaiser Gold base plan with an optional buy-up to either Kaiser Platinum or Anthem Gold PPO plans. Optional participation in dental coverage plans through Ameritas or MetLife and vision coverage through EyeMed or VSP. Optional participation in company retirement plan with annual employer discretionary contributions.
• Paid Time Off (PTO): Eligible to accrue up to ten (10) days of PTO in their first year.
• Paid Holidays: Six (6) paid holidays annually.
