To manage the day-to-day office operations – imports, exports & transport functions. The aim of this position is to ensure all shipments are efficiently processed, recovered and dispatched in time to meet schedules required by the customers. The position includes managing all aspects of operational employees, ranging from their performance to assisting with their personnel files. The position extends to creating workable formal relationships with sub-contractors, airlines, GHAs and other partners and maintaining a clear communication line with other departments within the branch and other international offices.

Main Duties and Responsibilities

  • Overall responsibility for all aspects of the supervision, training and development and health, safety, and welfare of your team.
  • Provide strong leadership, direction, and mentoring, thereby fostering and sustaining co-operation and team spirit.
  • Organize, structure, and strive to improve staff productivity.
  • Ensure compliance with all company rules and procedures and departmental work instructions, processes, systems etc. This includes random warehouse checks.
  • Set measurable and realistic KPIs, work standards and expectations, where appropriate, in line with company objectives, monitor and communicate these, measure against the same. Regularly review, revise and re-issue as required. Take corrective action where appropriate.
  • Ensure on the job training and/or structured and planned training and development for self and team to maximise skill levels, flexibility, absence cover etc. Provide timely and constructive feedback on the effectiveness of training and make suggestions for improvements.
  • Preparing work schedules and assigning specific duties.
  • Address employee and/or customer issues
  • Vendor Management. Perform evaluation and assessments of Marken Local Service Providers in Belgium.
  • Participate on audits of Local Service Provides as Operational Representative.
  • Contribute towards the achievement of company’s strategic and operational objectives.
  • Ensure appropriate staff level for the day-to-day Operations by managing the employee roster and time off requests including fair and equal distribution of Weekend and Public Holiday coverage. When required, cover the team members during periods of absence.
  • Provide Weekend coverage and Public Holiday coverage together with 1 assigned member of staff.
  • To continually review and report on resource requirements against past and anticipated workload; staffing levels, training/cross training, machinery, and equipment requirements whilst factoring in process and efficiency improvements
  • Work independently and/or closely with Line Manager or other peers to review and make practicable improvements to workflow, work processes and efficiencies within own area in line with the company and departmental objectives. Use recognized business improvement techniques where practicable.
  • Human Resource Management responsibilities such as, but no limited to, maintenance of timekeeping in Kronos and personnel records, support Line Manger with recruitment, annual performance evaluation, salary negotiations of Operations personnel.
  • Liaise with customers is required to ensure clarity of requirements, technical details, overcome problems, etc.
  • To keep the Manager and other relevant managers, supervisors and departments promptly advised on all relevant matters, problems, or requirements.
  • Overall, responsible for the inventory management of shipment packing and temperature monitoring device levels to ensure anticipated demand coverage. Control and elimination of damaged or expired items from the supply chain. Submission of purchase orders upon consent from Line Manager. Act as local contact person for questions regarding shipment packaging.
  • As Lead Investigator, perform investigations of Quality Issues assigned to Belgium Branch. As Lead Investigator assign Co-Investigators.
  • To ensure timely and accurate compliance with all administrative and reporting procedures and routines.
  • To attend client, local service provider and/or subcontractor meetings with Management members to support in operational areas. Extract KPI’s prior to these calls to assess and measure performance.
  • Host monthly meetings with local service providers to update them on improvements, quality issues and operational related matters.
  • Together with Line Manager ensure fortnightly staff briefings/operation meetings are held and that to-do items are followed up on.
  • Responsible for assisting with special project as assigned.
  • Responsible for ensuring that cleaning is performed periodically in warehouse and in the controlled room temperature area.

  • Make sure that SOPs, CAPAs, investigations and trainings are handled in a way that they don’t become overdue
  • Ensure that employees are always compliant with their SOPs, CAPAs, investigations and trainings

  • Ensuring that the Marken Quality System is implemented and maintained
  • Ensuring the accuracy and quality of all records and document
