Job Description

The Operations and Logistics Coordinator works with the Conservation Department’s Program Operations Manager to support the day-to-day functioning of the department by managing logistics, administrative tasks, and operational needs. The position manages and tracks program assets (e.g. equipment), ensures compliance with applicable labor and safety related protocols, tracks and manages department vehicles, purchasing, billing, and invoicing, and provides additional administrative support. Along with the Program Operations Manager, the Operations and Logistics Coordinator ensures that Conservation Department daily operations run smoothly, supplies and equipment are maintained and accounted for, and field teams and partners are supported with timely travel, scheduling, and resource coordination.

Essential Duties

  • Support the day-to-day functioning of the Conservation department by managing logistics, administrative tasks, and operational needs.
  • Manages and tracks program assets through inventory and other means, including tools, fence materials, radios, cameras, and other field and office equipment
  • Assists with logistics and scheduling for internal teams, partners, and contractors, including travel and housing scheduling, and field deployment support.
  • Support fleet management tasks such as tracking vehicle repairs, inspections, and safety documentation.
  • Maintain digital records of assets and assist with ordering and tracking equipment and software as needed.
  • Maintain required physical records at the department level such as SDS binders, supports programs within the department with documentation such as pesticide/herbicide logs, SOPs, etc.
  • Assist with procurement and purchasing, including preparing purchase orders, tracking delivery, and submitting invoices.
  • Issue hunting permits to members of the public, check current hunting licenses, and take payment.
  • Work collaboratively with field staff, operations leads, and external vendors to anticipate and address logistical needs.
  • Contribute to the efficiency and safety of field operations through proactive support and systems management.
  • Perform other duties as assigned.

Qualification/Requirements:

General Requirements:

  • Demonstrated ability to work successfully as a productive team member with people of diverse cultures, ages, and educational backgrounds.

  • Strong interest in natural resource management.

  • Strong safety ethic.

  • Able to effectively, efficiently, and safely execute instructions and direction.

    Basic Job-Specific Required Experience and Abilities:

  • Minimum of 1 year of professional experience in office administration, program, or project management or logistics, preferably in Hawaii involving natural resource projects (but conservation/natural resources experience not required).

  • Excellent organizational and time management skills, and attention to detail

  • Excellent written and verbal communication skills, and the ability to write clear, concise emails and reports.

  • Ability to communicate effectively and coordinate logistics across departments and with external partners.

  • Able to maintain a positive attitude and work under pressure.

  • Able to drive 4-wheel drive vehicles.

  • Able to use computers, GPS, tablets, and other electronic devices. Proficient in Microsoft Office, and able to learn in-house database systems.

    Preferred Job-Specific Required Experience and Abilities:

  • Prior experience supporting conservation programs or field-based work.

  • Experience with administrative support, purchasing systems, and/or inventory management.

  • Knowledge of power tool and small machine maintenance and repair.

  • Experience working with diverse organizations and partners, including county, state and federal agencies, academic institutions, environmental consultants, contractors, and non-profit organizations.

  • Possess broad knowledge and/or be willing to learn about diverse topics in conservation and natural resource management.

  • Able to fly in and work around helicopters.

  • Able to operate weed-eaters, chainsaws, and other small engine tools.

Required Work Cards/Certifications:

Valid Driver’s License and successful review of Motor Vehicle Record.

Physical Requirements:

  • Standing and sitting for long periods of time indoors and outdoors.

  • While performing the duties of this job, the employee is regularly required to sit, talk, and hear.

  • The employee is required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.

  • The employee must regularly lift and/or move up to 30 pounds and occasionally lift and/or move up to 50 pounds.

  • Specific vision abilities required by this job include close vision, distant vision and color vision.

  • The employee must have the ability to hear normal conversation without the use of amplification or enhancement devices.

  • Standing, moving, and carrying up to 15 lbs over uneven terrain in inclement weather.

  • Ability to hike over uneven terrain for up to 5 miles while carrying a pack daily.
