Operations Junior Assistant

Your Responsibilities

Manage financial release processes and the issuance of bills of lading (BLs) to shipping lines and freight forwarders, validating payments, documents, and authorizations to ensure the continuity of operations.
Coordinate the timely pickup of goods from port terminals, managing pickup orders, documentation, and follow-up with transportation companies.
Ensure the traceability and updating of operations in the company’s systems, tracking dates, procedures, updates, and progress for each process.
Manage and track settlements, invoicing, and port services, ensuring the correct application of reference numbers and timely processing with the relevant departments.
Identify and promptly communicate bottlenecks, developments, and operational risks to the Operations Coordinator and other relevant departments, facilitating decision-making and service continuity.

Your Profile

Education: Technical certificate, associate’s degree, or bachelor’s degree in Foreign Trade, International Business, Business Administration, or related fields; International Physical Distribution; or Logistics. If this requirement is not met, the candidate must have 1 year of experience in a similar role.
Training: Customs regulations, document management, logistics and port operations, use of customs operations software, office software, and customer service.
Experience: Minimum 1 year
Technical Skills: Knowledge of office software and the ability to use various expense settlement platforms (delays, deposits, etc.) as applicable, as well as the ability to use port terminal platforms for processing submissions. Digitize documentation in accordance with the document retention schedule under the customs regime for safekeeping in the general archive. Manage payments associated with the release process as appropriate. Keep container and port terminal authorization forms up to date in the company’s designated computer systems as appropriate. Practical skills and regulatory knowledge focused on efficiently organizing, classifying, and preserving documents throughout their retention period.
