The Operations Excellence Specialist is responsible for optimizing pharmacy workflows, processes, and efficiencies across provincial pharmacies. This role emphasizes data gathering and analysis, process improvements, and best practice implementation among all pharmacies to ensure standardization. The position involves identifying and implementing workflow optimizations, providing strategic recommendations, and facilitating root cause analysis discussions.

Your Mission

Operational Excellence & Process Improvement

  • Support the implementation of operational workflows, policies, procedures, and technology in collaboration with Pharmacy Operations and Pharmacy teams.
  • Identify and address process gaps to ensure National alignment across day-to-day workflows, with a focus on continuous refinement and improvement.
  • Standardize best practices across all pharmacies.
  • Develop and document efficient operational workflows.
  • Conduct root cause analysis for operational challenges and recommend solutions.
  • Lead the assessment of the physical infrastructure of pharmacy locations to meet business needs.
  • Identify and implement innovative solutions to improve pharmacy operations and service delivery.
  • Lead and support operational projects, collaborating with multiple stakeholders to achieve objectives.
  • Performing staffing assessments to determine current and future resource needs and workload distribution among roles.

Data Analysis & Performance Monitoring

  • Develop, gather, and analyze operational reports and pharmacy performance metrics to drive decision making for business operations and business performance.
  • Utilize data analytics to identify trends, gaps, and opportunities for operational efficiencies.

Stakeholder Collaboration & Communication

  • Foster strong working relationships within the pharmacy team and across other departments, to ensure effective communication, alignment with best practices, and continuous process improvements.
  • Conduct regularly scheduled group meetings with pharmacy team members to gather feedback, address concerns and ensure alignment with team goals and initiatives.
  • Provides coaching to their peers by providing clear, constructive, and forward-looking feedback that supports their growth and development.
  • Promote a culture of excellence and patient-centered care aligned with the organization’s mission.
  • Manage business continuity and emergency response efforts in collaboration with relevant teams across the organization to ensure minimal disruption and sustained operational functionality during unexpected events.

Compliance & Quality Assurance

  • Ensure pharmacy operations align with internal and external compliance standards.
  • Support Pharmacy Managers in maintaining high-quality patient care and service standards.

What You Bring to the Table

  • Education:
    • Post-secondary education or equivalent experience.
    • Process-related training or certification (e.g. operational excellence, continuous improvement, or related disciplines.
    • Lean Six Sigma certification an asset.
    • Prosci or other change management training an asset.
  • Experience:
    • Minimum 3 years of experience in an operational excellence or continuous improvement role.
    • Experience with pharmacy technology systems an asset. o Demonstrated experience in process improvement and workflow development/documentation.
    • Experience in systems implementation and process monitoring.
    • Experience in data gathering, analytics, and providing recommendations based on insights.
  • Skills:
    • Strong understanding of pharmacy operations. o Previous leadership or management experience is a strong asset. o Knowledge of change management practices is an asset.
    • Strong interpersonal and collaborative skills with excellent communication (verbal and written) abilities.
    • Exceptional organizational and time management skills, with the ability to manage multiple pharmacy locations effectively.
    • Ability to thrive in a fast-paced and evolving work environment.
    • Respond positively to high pressure situations, effectively prioritizing tasks and meeting deadlines without compromising quality.
    • Strong problem-solving skills, with the ability to identify, analyze, and resolve operational challenges efficiently.
    • Strong relationship-building and influencing skills to drive results. o Proactively identify and address challenges by taking initiative to drive solutions.
    • Demonstrates sound judgement and decision-making skills by taking the initiative to make informed decisions.
    • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
    • English proficiency is required for this position to effectively communicate with internal and external stakeholders.

Compensation: At BioScript, your base pay is one part of your total compensation package and is determined within a range. Our pay ranges are based on the local cost of labor benchmarks for each specific role, level, and geographic location.
