The Opportunity

The Operations Coordinator plays a key role in coordinating operational services and activities across PLMSP. This is a broad and varied role spanning asset management, knowledge and document management, travel and mobilisation, events and workshops, procurement support, office operations, compliance and continuous improvement.

This role would suit someone who can adapt quickly to changing priorities and is confident stepping into new areas of work. You will be proactive and solutions-focused, able to quickly understand new concepts, use initiative to work through challenges and find practical ways forward. Strong prioritisation skills and the flexibility to move between different operational priorities will be important.

About the Program

The Pacific Australia Labour Mobility (PALM) scheme is a signature initiative for the Australian Government that enables workers from 9 Pacific Island Countries (PICs) and Timor- Leste to work in priority sectors in Australia. The Pacific Labour Mobility Support Program’s (PLMSP) role is to provide the Department of Foreign Affairs and Trade (DFAT) and governments in 9 PICs and Timor-Leste with support to enable workers to access PALM scheme in inclusive ways that maximise the benefits for the workers and national economies while minimising risks from labour mobility participation. Palladium is contracted to deliver PLMSP on behalf of DFAT.

What you will do

The Operations Coordinator will be responsible for:

  • Coordinating asset management activities, including asset planning, records, stocktakes, compliance, reporting and continuous improvement.
  • Coordinating knowledge and document management, including implementation of the PLMSP Document Management Framework, SharePoint, operational policies and procedures, document control and knowledge sharing.
  • Coordinating PLMSP travel support services, providing practical support across the travel lifecycle and working with travellers, approvers, suppliers and service providers to support travel planning, compliance and issue resolution.
  • Coordinating operational support for events and workshops, working collaboratively with Event Leads, PLMSP teams, in-country resources and relevant specialist functions.
  • Supporting procurement and expenditure processes, supplier and service-provider engagement, office administration and operational services.
  • Contributing to operational reporting, training, process improvement and the consistent application of operational processes across Brisbane and country teams.

The successful candidate will bring a practical, proactive and collaborative approach to Operations. They will be highly organised, adaptable and solutions-focused, with the ability to quickly understand new concepts, systems and processes, effectively manage changing and competing priorities, and use initiative and sound judgement to work through operational challenges. They will be a strong communicator who builds effective relationships, take ownership of issues and looks for practical ways to continuously improve how work is delivered.

Due to the nature of the program and the locations in which it operates, occasional reasonable after-hours support may be required to respond to travel disruptions, emergency situations or other urgent operational matters.

What you will bring

  • Relevant experience in operations, administration, logistics, project or program support or a related field. A relevant qualification may be beneficial but is not essential.
  • Demonstrated ability to coordinate activities, processes or services involving multiple priorities and stakeholders.
  • Strong organisational, communication and problem-solving skills, with the ability to work independently and collaboratively across culturally diverse teams.
  • Confidence using Microsoft 365 applications and the ability to learn and apply new systems, policies and processes.
  • Experience in one or more relevant areas, such as procurement, travel, asset management, events, compliance or document management, would be advantageous but is not essential.
  • Previous experience working on DFAT-funded, international-development or other government-funded programs would be advantageous but is not essential.
