Job Description

The Keywords Social Pillar is a global team of 200+ social specialist professionals providing expert social media services to gaming and entertainment clients spread across 4 global studios within Keywords Studios.

We are currently seeking an Operations Coordinator, responsible for the end-to-end operational health of the department. Sitting within the operations team, this role ensures that global performance processes are followed, technical blockers are escalated, and the lifecycle of both full-time employees and freelancers is managed with precision. You will act as the primary liaison between department leads and regional HR/IT teams across North America, Europe, South America and Asia.

This position is offered on a fixed-term basis and is expected to last for approximately one year.

Your Impact:

  • Evaluation Lifecycle Drive the annual review process including creating self-evaluation forms and tracking completion
  • Incentives & Awards Calculate and facilitate performance awards based on regional salary averages; coordinate payments through the Workday ticketing system.
  • Disciplinary Support: Partner with regional HR and People Managers to correctly administer disciplinary actions or performance plans (PIPs) for the global team.
  • Workday Administration Act as the point of contact for "One File" evaluations and global KPI updates within Workday.
  • Leave Management Track medical leaves, "Leaver Alerts," and time-off requests, coordinating closely with regional HR (e.g., Canada, Germany, Spain).
  • Payroll & Hours Conduct monthly and bi-weekly audits of local tracking tools for the US, Canada, and Mexico to ensure payroll accuracy.
  • New Hire Experience Coordinate hardware needs with the Technology Operations Manager, schedule regional L&D inductions, and conduct intro check-ins during the first 90 days.
  • Equipment Logistics: Manage the "Project Hardware Matrix." For freelancers, ensure all serial numbers, KWS tags, and return values are documented in contracts before shipping.
  • Exit Management Execute all offboarding tracking tasks and "Leaver" updates for departing staff.
  • Compliance Ensure specific regional legal requirements are met
  • Continuous Improvement Proactively look to solve issues and bottlenecks in processes and systems delaying or preventing the team delivering high quality work

Requirements

Your Experience:

  • Minimum of 2 years’ experience in business administration
  • Experienced in working remotely, and with remote teams
  • Basic knowledge of social media
  • Excellent time and project management skills
  • Strong communication skills and attention to detail
