Keep aircraft projects moving and customers informed.

In business aviation, precision, communication, and execution drive every successful aircraft project. As an Operations Coordinator - Aircraft Services, you will own the coordination activities that keep projects moving efficiently from arrival to delivery. Working across Operations, Procurement, Customer Experience, Quality, and Service teams, you'll manage documentation, track operational priorities, support material readiness, and help ensure customers receive the exceptional service they expect from Elliott Aviation.

Based at our Des Moines, IA facility, this position serves as a key operational resource and provides valuable cross-functional support across aircraft services and Parts operations.

Primary Responsibilities

Aircraft Project Administration

  • Prepare aircraft work order packages, documentation, and project files.
  • Ensure required project paperwork is complete before work begins.
  • Maintain accurate project records and support aircraft delivery and closeout activities.
  • Assist leadership with project tracking and documentation management.

Work Order Administration & Closeout

  • Coordinate activities required for timely work order closure.
  • Ensure documentation is complete, accurate, and properly maintained.
  • Monitor aging work orders and support invoice preparation.
  • Track closure metrics and support operational performance reporting.

Operations Support

  • Support daily production meetings and maintain action item logs.
  • Track open discrepancies, commitments, and schedule-impacting issues.
  • Facilitate communication between departments and escalate unresolved concerns.
  • Help maintain efficient aircraft flow and project visibility.

Materials & Procurement Coordination

  • Track material requirements, shortages, delivery dates, and critical parts.
  • Communicate material status to operational stakeholders.
  • Support efforts to resolve supply chain constraints.
  • Help ensure material readiness aligns with aircraft schedules.

Parts Support & Cross-Training

  • Assist with procurement, inventory, and material management activities.
  • Support purchase order tracking and supplier communications.
  • Participate in cross-training initiatives and serve as a backup resource for key Parts functions.

Customer Experience Support

  • Administer and track customer feedback and satisfaction surveys.
  • Coordinate follow-up activities and maintain customer service records.
  • Support customer communication and delivery documentation as needed.

Qualifications

Required

  • High school diploma or GED.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications.
  • Ability to work effectively with employees at all levels of the organization.
  • Strong customer service orientation and professional demeanor.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to independently prioritize work and drive tasks to completion.

Preferred

  • Associate degree in Business Administration, Operations Management, Aviation Management, or a related field.
  • Three or more years of experience in administrative support, operations coordination, project coordination, customer service, or a related environment.
  • Experience within aviation maintenance, manufacturing, technical service, or another operational setting.
  • Experience working with procurement, materials, inventory, supply chain coordination, or work order administration processes.

Other Requirements Include

  • Ability to obtain and maintain any required airport security badges or facility access credentials.
  • Valid driver's license and acceptable driving record.
  • Ability to work safely in and around aircraft maintenance and hangar environments.
  • Compliance with all company safety policies, procedures, and PPE requirements.

Work Environment

  • Primarily office-based position located at Elliott Aviation's Des Moines operation.
  • Regular interaction with maintenance personnel, operational leaders, and customers.
  • Monday through Friday daytime schedule, with occasional flexibility required to support operational needs.
  • Frequent use of computers, phones, and business systems.
  • Ability to move throughout office and hangar environments as needed to support aircraft projects and operational activities.
