We are seeking a dedicated, highly organized, and results-oriented Operations Coordinator to join our global Disaster Risk Management group, which specializes in disaster risk reduction, response, reconstruction, and urban resilience. With experience responding to over 100 global and U.S. disasters, our data-driven, multidisciplinary approach addresses economic, political, socio-cultural, sustainability, and technical challenges in some of the world's most demanding environments. We excel at developing strategies for post-conflict and disaster recovery, including creating resilient, affordable housing systems that empower communities to rebuild and thrive.

This position is to be based in our Los Angeles office. No relocation or sponsorship is provided.

Position Summary

The Operations Coordinator will provide hands-on operational support to Miyamoto’s global disaster preparedness, response, and recovery programs. Working under the direction of Miyamoto’s Senior Principals overseeing global disaster response and preparedness work, and closely with Project Managers, Project Coordinators, technical specialists, country teams, finance, and other project personnel, the Operations Coordinator will help ensure teams have the people, resources, systems, and operational support needed to implement programs effectively.

The role will support a broad range of operational needs, including procurement, contracting, consultant recruitment and management, logistics, travel and deployments, IT and equipment, finance coordination, and project start-up and closeout. The Operations Coordinator will also support the development of scopes of work, identification and mobilization of specialized consultants and service providers, and management of consultant rosters and other operational resources that can be leveraged across projects and disaster responses.

This is a hands-on role requiring strong judgment, initiative, and follow-through. The successful candidate will be comfortable taking ownership of operational needs from identification through completion, while recognizing when specialized expertise or management guidance is required. The position requires the ability to work across multiple projects and countries, respond quickly to changing priorities, and develop practical solutions and systems without creating unnecessary bureaucracy.

Key Responsibilities

• Provide day-to-day operational support across global disaster preparedness, response, recovery, and resilience programs.
• Coordinate procurement of goods and services, including supporting development of specifications and scopes of work, identifying vendors and service providers, obtaining and documenting quotations, coordinating required reviews and approvals, and tracking procurement through delivery.
• Support consultant and contractor engagement, including development of scopes of work, identification and recruitment of qualified experts, contracting, onboarding, assignment tracking, and coordination of invoicing and other administrative requirements.
• Develop and maintain rosters of specialized technical and operational consultants and service providers and support their efficient mobilization across projects and disaster responses.
• Work with Project Managers, technical teams, and country teams to identify operational and specialized expertise required for program implementation and help determine practical approaches to meeting those needs.
• Coordinate operational aspects of project and country start-up and closeout, including consultant and staff mobilization, procurement, contracting, equipment, IT, travel, documentation, and other implementation requirements.
• Coordinate international and in-country travel and deployment logistics, including flights, accommodation, ground transportation, visas, insurance, communications, equipment, and other mobilization requirements.
• Coordinate IT, communications, software, equipment, and other operational requirements for project teams and deployed personnel, working with internal or external specialists as needed.
• Work closely with finance and project teams to support purchasing, consultant and vendor invoices, expense documentation, operational budget tracking, and other financial and administrative processes.
• Maintain procurement, contracting, consultant, vendor, equipment, travel, and other operational records and trackers, ensuring documentation is complete, organized, and readily accessible.
• Coordinate with specialized consultants and advisors in areas such as procurement, safety and security, legal and compliance, logistics, IT, and other operational functions, helping translate specialist guidance into practical actions for project and country teams.
• Support development and continuous improvement of practical operational procedures, templates, tools, and workflows that enable teams to work efficiently while meeting organizational and donor requirements.
• Proactively identify operational needs, bottlenecks, and risks and work with Project Managers, country teams, leadership, and specialist advisors to develop and implement practical solutions.
• Support emergency operations and rapid-response activations, including mobilization, logistics, procurement, contracting, information management, equipment, and other immediate operational priorities.
• Provide operational support across other global initiatives and responses as organizational priorities and needs evolve.

As needed, this role may require international travel and deployment to disaster-affected locations to provide direct operational and logistical support.

Qualifications and Experience

Education

Bachelor’s degree in business, operations, international relations, emergency management, supply chain, logistics, or another relevant field. Equivalent relevant professional experience will also be considered.

Experience

• Approximately 4–7 years of relevant professional experience in operations, project coordination, procurement, logistics, contracting, business administration, or related functions.
• Demonstrated experience independently managing operational processes and taking responsibility for complex tasks from planning through completion is important.
• Experience supporting complex, international, or fast-moving operations is highly desirable.
• Experience in humanitarian assistance, disaster response, international development, or other rapidly changing operational environments is an advantage but not required.

Knowledge:

• Strong understanding of operational and project administration processes, with familiarity across areas such as procurement, contracting, logistics, budgeting, financial administration, IT, and operational support.
• Experience with donor-funded programs is desirable, as is familiarity with U.S. Government-funded programs and 2 CFR / U.S. federal award requirements.

Skills

• Excellent organizational and problem-solving skills, strong attention to detail, and demonstrated ability to exercise sound judgment and independently manage multiple operational priorities.
• Ability to identify what needs to be done, determine a practical path forward, seek specialized guidance when appropriate, and follow through to completion.
• Strong communication and interpersonal skills and confidence working with vendors, consultants, technical specialists, and teams across different countries and functions.
• Strong proficiency in Excel, PowerPoint, Word, and digital and AI-enabled tools for organization and administration.
• Ability to appropriately handle sensitive and confidential information.

Languages: Professional fluency in English required. Spanish highly preferred. Additional languages are an advantage.

Remote Work and Travel Requirements:

Willingness to travel internationally and deploy to disaster-affected locations as needed.

The salary range for this position is $95,000.00-$115,000.00 per year. Salary offers are determined using a variety of factors, including but not limited to: years of experience, education, depth of knowledge, geographic location, and equity with internal staff.
