Operations Coordinator

Salary: £29,000, with progression to £32,000 after 12 months, plus company bonuses

Location: Burton-on-Trent / Hybrid Working

Hours: Monday to Friday, 9am–5pm (37.5 hours per week)

Office days: Monday, Tuesday and Thursday

Home-working days: Wednesday and Friday

Spotless Cleaning is looking for a proactive and dependable Operations Coordinator to join our friendly head office team in Burton-on-Trent.

This is a brand-new role created to support our continued growth. You’ll become an important part of our Operations Team, helping our employees enjoy a smooth journey from onboarding through to their ongoing employment with Spotless.

The role

Reporting to our Operations Manager and working closely with our Senior Operations Coordinator, you will help keep our employee administration, systems and compliance processes accurate, organised and up to date.

This is a varied and hands-on position. One moment you may be onboarding a new employee or processing a DBS application; the next, you could be checking operational records, arranging supplies for a client site or helping a manager prepare a report.

There are no direct line-management responsibilities, but you will communicate regularly with cleaners, managers, suppliers and colleagues across the business.

What you’ll be doing

Employee administration and onboarding

  • Taking ownership of employee administration once a cleaner has successfully completed their trial
  • Completing new-starter onboarding
  • Creating and maintaining accurate employee records
  • Setting up employees on Connecteam and Employment Hero
  • Processing DBS applications
  • Checking right-to-work and onboarding documentation
  • Ensuring personnel records remain accurate, complete and compliant

Training and compliance

  • Monitoring completion of mandatory employee training
  • Following up on outstanding training and documentation
  • Supporting managers with compliance reports
  • Assisting with internal audits and compliance checks
  • Making sure required documents are completed and filed correctly

Operational support

  • Completing daily cleaning-log checks
  • Updating internal systems and records
  • Preparing letters, reports and other documentation
  • Liaising with cleaners about site updates, complaints and operational matters
  • Providing day-to-day administrative support to the Operations Team

Ordering and office support

  • Ordering cleaning materials and equipment for delivery to client sites
  • Monitoring office stationery and consumable stock
  • Maintaining accurate ordering records
  • Completing monthly fire-alarm tests and first-aid-kit checks
  • Helping to maintain a safe, welcoming and well-organised office

You will also assist with business projects, help improve internal processes and provide additional support to our Operations Manager, Senior Operations Coordinator and Customer Service Manager during busy periods.

About you

You’ll be a great fit for this role if you:

  • Have at least two years’ administration experience
  • Are highly organised and have excellent attention to detail
  • Can confidently manage several priorities at once
  • Are friendly, professional and comfortable communicating with employees
  • Take ownership of your work and follow tasks through to completion
  • Can work independently while also being a supportive team member
  • Have good written and verbal communication skills
  • Are confident using Microsoft Office and learning new business systems
  • Can handle confidential information professionally and discreetly
  • Bring a positive, practical and can-do attitude to your work

Previous experience in operations, HR, recruitment, employee onboarding or compliance would be particularly valuable, although full training on our systems and processes will be provided.

Salary progression

You will start on a salary of £29,000 per year

Following 12 months in the role and a successful annual appraisal, you will be eligible for an increase to £32,000, subject to consistently meeting the agreed expectations and performance targets for the position.

The increased salary reflects the experience you will have gained, your contribution to the business and your ability to work with greater autonomy within the Operations Team.
