Job Description

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.

Our client is a growing security and operations company providing physical security services, surveillance systems, access control solutions, and live monitoring support for commercial clients. As the company continues expanding, they are focused on improving internal organization, operational efficiency, communication workflows, and day-to-day coordination across the business to support continued scalability and operational excellence.

Location

Fully remote | 9 AM - 5 PM EST

The Operations Coordinator will support day-to-day operational functions across the business while helping leadership maintain organization, accountability, and efficiency. This role will focus on scheduling, communication, process coordination, administrative support, and assisting with operational systems and reporting in a fast-paced environment.

Key Responsibilities

Operational Coordination & Support

  • Assist with coordinating day-to-day operational workflows and internal processes.

  • Help ensure projects, tasks, and operational initiatives are moving forward efficiently.

  • Support leadership and operations teams with administrative and coordination-related tasks.

  • Assist with maintaining organization across operational systems and documentation.

Scheduling & Communication

  • Manage scheduling, calendar coordination, and meeting organization.

  • Assist with responding to emails and internal communications in a timely manner.

  • Coordinate follow-ups, task tracking, and operational accountability across teams.

  • Support communication workflows through Slack and other internal platforms.

Process Improvement & Systems Support

  • Identify operational inefficiencies and assist with implementing process improvements.

  • Help maintain SOPs, documentation, and internal organizational systems.

  • Support automation and workflow initiatives alongside operations and automation teams.

Administrative Support

  • Assist with operational reporting and maintain accurate internal records.

  • Support administrative coordination and help maintain organized workflows and documentation.

  • Familiarity with QuickBooks or operational financial coordination is considered a plus.

Qualifications

Experience

  • 1–3 years of experience in operations coordination, administrative support, project coordination, or similar operational roles.

  • Experience working with organizational and communication platforms such as Slack, Google Workspace, ClickUp, Asana, or similar tools.

  • Familiarity with QuickBooks or operational financial coordination is preferred but not required.

Skills

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Ability to prioritize tasks and manage follow-through effectively.

  • Strong attention to detail and operational awareness.

  • Comfortable working with systems, documentation, and process improvement initiatives.

  • Highly organized, proactive, and adaptable with a strong sense of ownership and accountability.

  • Process-oriented with a solutions-focused mindset.

  • Comfortable working across multiple functions in a fast-paced environment.
