The Operations Coordinator maintains the day-to-day office functions and responsibilities of the operations department. Accurately track start information, analyze data, and coordinate with other Brookfield departments and external consultants to achieve objectives. Responsible for helping determine reporting discrepancies, maintain schedules / documents in systems, and proactive communication to all team members.
Key Responsibilities:
Facilitate starts process between departments and effectively communicating new starts and/or changes to starts as they occur
Ensure that each department is tracking to the Unstarted Lots Report
Complete plot plan submittals and permitting process with internal and external teams as needed
Assist Purchasing and Design department if discrepancies are found
Input lot information at time of start. Ensure all detail is entered in system for a start to be 100% ready
Work with Operations team to adjust start dates in the system as needed
Collaborate with the Operations Manager to manage templates for all schedules
Maintain schedules and cutoff updates for Operations
Audit task start/complete dates for every active lot weekly
Work with Purchasing to ensure POs are released to into scheduling software and Construction team can schedule trades
Assist Operations Manager and Area Manager with Field PO reporting and tracking through various reports and systems
Work with Sales/Escrow and Area Manager to monitor COE Dates in scheduling software. Ensure that reporting on these dates is accurate and up to date
Track Integration Status Report (ISR) in BuildPro daily and alert all departments of any error notifications. Reprocess, clear & check errors after corrections have been completed
Support Operations Manager and Area Manager in ordering supplies for the Construction team while adhering to budgets
Assist Purchasing/Design/Sales with data input and working with departments to hand off processes
Work closely with Purchasing/Design to facilitate the flow of information and documentation between departments
Review flooring diagrams, structural diagrams, etc. and provide departments with corrections as needed
Open/close accounts for ordering supplies for Operations team (i.e., office supplies, water, etc.)
Oversee ordering & distribution of uniforms and safety gear including coding of invoices for office supplies and uniforms.
Help coordinate meetings for the operations team
Review, code, and/or route invoices in APR
Assist Purchasing with contracting and inputting contracts into various systems
Research PO discrepancies and work with the Purchasing Manager to resolve any issues.
Work in various file storage systems to manage documents between departments. Ensure nomenclature stays consistent for best practices
Assist Operations Manager in distribution of weekly reports and maintenance of critical reporting information
What You'll Bring:
Bachelor’s Degree and/or experience in homebuilding required
College experience a plus
Strong analytical and computer skills, Microsoft Office required
Proficient verbal and written communication skills and effective interpersonal skills
Must have ability to multi-task and work well under pressure
Strong planning and organizational skills
Experience working with Newstar and BuildPro is advantageous
