Requirements

OVERALL RESPONSIBILITY:

The Operations Coordinator supports the Technical Support & Service Team with administrative, logistical, and customer-facing tasks that ensure smooth daily operations. This role’s primary function is coordinating communication, organizing workflow, maintaining documentation, and assisting with scheduling, parts coordination, reporting, and customer interactions. The coordinator ensures that all tasks are completed with accuracy, urgency, and professionalism in alignment with company HEART values and service standards.

ACCOUNTABILITIES

1) Technical Support - Engage incoming customer inquiries (phone, email, portal), routing them appropriately and ensuring timely follow-up.

2) Training Support- Provide day-to-day operational and administrative support for both in-house and external training events.

3) Provide data based feedback for the team to identify training needs or system improvements.

4) Provide exemplary customer care and interactions.

5) Service Support – Provide quoting, scheduling, work order creation, data entry, scheduling, documentation updates, and workflow organization.

6) All other administrative or general office support related duties as assigned.

QUALIFICATIONS (Education, Certifications and Required Experience)

1) College credit preferred, experience weighted.

2) Experience with Microsoft Office Applications

3) 3 years + experience in an operations role.

4) Prior Customer Service experience preferred

PHYSICAL REQUIREMENTS

1) Repetitive Motion – Substantial movement/motion of the wrists, hands and/or fingers

2) Sitting – The body is supported by buttocks and back and employee needs to remain seated for extended periods of time.

3) Walking – Moving about on foot to travel and accomplish tasks, including long distances or site to site.

4) Vision – Visual acuity is required to view a computer terminal and to analyze data.
