Job Description

DUTIES AND KEY RESPONSIBILITIES

  1. Coordinates resolution of complex operational issues, ensuring confidentiality and sensitivity.
  2. Acts as a primary point of contact and liaison between departments, facilitating effective communication and issue resolution.
  3. Conducts community visits and projects under the direction of the COO.
  4. Manages organizational communications, schedules, and reports, ensuring accuracy and timeliness.
  5. Supports the COO in document preparation, follow-up communications, and timely responses.
  6. Leads planning and execution of special events, meetings, and projects, ensuring successful outcomes.
  7. Conducts research and prepares materials for COO meetings and events.
  8. Champions the company's core values, fostering a culture of professionalism and excellence.
  9. Provides strategic operational support to multiple departments, contributing to organizational objectives.
  10. Manages departmental resources effectively, including supplies and equipment.
  11. Maintains accurate and up-to-date databases and records.
  12. Supports financial and marketing reporting efforts, ensuring data accuracy and relevance.
  13. Assists in budget preparation and monitoring for operational and capital expenditures.
  14. Facilitates tasks related to facility licensure, registration, and certification.
  15. Executes other duties as assigned by the COO.
  16. Assist with the intake of insurance claims and timely reporting to insurance carriers and brokers
  17. Assist with maintaining the organization’s claims platform by uploading pertinent claim documents and notes.
  18. Support litigation and claims management by organizing documentation and processing legal and insurance billing.
  19. Review and process CAPEX-related invoices, ensuring accuracy, proper coding, and alignment with approved project budgets.
  20. Work with VP of Maintenance to track capital expenditures (CAPEX) across projects, ensuring alignment with approved budgets and timelines
  21. Prepare regular CAPEX reports, dashboards, and forecasts for leadership.
