Under limited supervision, perform a variety of complex administrative, operational, and project coordination duties in support of the County Manager's Office (CMO) which includes both the Executive Leadership Team (ELT), and Board of County Commissioners (BoCC). Coordinate executive office operations, meetings, constituent support, financial processes, and special projects while providing exceptional customer service to elected officials, executive leadership, employees, constituents, and external partners. The individual in this position regularly handles confidential information and sensitive situations requiring sound judgment, discretion, organization, and the ability to manage multiple priorities.


Examples of duties

Executive Office Operations

  • Coordinate daily operations of the County Manager's Office, including reception, visitor support, office resources, and workspace needs.
  • Maintain office supplies, equipment, and coordinate facility and technology requests.

Meeting and Event Coordination

  • Coordinate logistics for Board of County Commissioners Public Hearings, Study Sessions, executive-level meetings and countywide events.
  • Arrange meeting space, technology, catering, materials, and other event support as needed.

Cross Functional Executive & Administrative Support

  • Partner with other Operations Associates and Executive Assistants to coordinate executive calendars, meeting schedules, travel, and administrative activities to strengthen service delivery.
  • Prepare correspondence, reports, meeting materials, agendas, minutes, and other administrative documents while ensuring confidentiality.
  • Proofread and review executive communications for accuracy, consistency, and professionalism.
  • Coordinate internal meetings, recognition activities, and workplace events that support a positive and professional office culture
  • Identify opportunities to improve administrative processes, increase efficiency, and support effective collaboration across departments.

Constituent Services

  • Respond to constituent inquiries and coordinate with county departments to facilitate timely resolution.
  • Provide operational insight and recommendations to enhance constituent engagement efficiency.

Records Documentation & Financial Administration

  • Maintain organized filing and tracking systems, conduct research, and provide records or information in response to operational needs.
  • Process invoices, requisitions, billing records, and related financial transactions while maintaining accurate documentation.

Teamwork

  • Provide backup support to other County Manager's Office administrative staff as needed.
  • Coordinate special projects and perform other related duties as assigned.

Supplemental information

Education and Training:

  • High School Diploma or GED.
  • College degree in Business Administration or a related field is a plus.


Experience: Minimum of 3 years of progressively responsible executive level administrative or operational support experience required. Prior experience working on a political campaign and or working with elected officials is a plus.

License or Certificate: None.

Background Check: Must pass a criminal background check.
