The Operations Associate/Coordinator provides comprehensive administrative and coordination support to the Program & Impact Team, spanning executive support, event and program coordination, marketing and communications, partnership engagement, in-kind donation management, and cross-Club department team support. The role serves as a key point of connection between the Program & Impact Team, Club sites, Development, and Marketing, ensuring BGCB-wide events, communications, and partnership activities run smoothly and align with organizational standards.
ESSENTIAL DUTIES and RESPONSIBILITIES
Executive and Administrative Support
- Coordinates and manages the day-to-day activities of the CIO, including scheduling, calendar management, and administrative support for the Program & Impact Team.
- Prepares written communication, including Program & Impact reports for Board Committee meetings.
- Works with the CIO to build agendas, prepare meeting materials, and take minutes for Program & Impact, Site Leadership, and Program Committee meetings.
Event and Program Coordination

Supports oversight of BGCB-wide events and programs, including Teen Recognition, Senior Night, Department Team Days, Youth and Junior Youth of the Year and Month, Presidents Innovation Fund and other PI lead events as assigned.
- Collaborates with Development and Club staff on event planning, maintains budgets for agency-wide events, and submits related paperwork in a timely manner.
Marketing and Communications Support
- Partners with the Marketing team to create brand-aligned materials, including parent handbooks, brochures, flyers, posters, and digital content.
- Writes and develops copy for board and committee audiences, social media, email campaigns, and website content, ensuring messaging is clear, consistent, and aligned with content strategy.
- Supports event and activity photography for social media in partnership with the marketing team.
Partnership Engagement and In-Kind Donation Management
- Partners with Club leadership to coordinate Club attendance at community and corporate partner events, and coordinates with Development to track and acknowledge partner contributions.
- Owns the distribution, tracking, and acknowledgment of in-kind donations, including transmittal forms and donor liaison, staying attuned to the ongoing needs of Clubs and programs.
- Provides ongoing support with program partner management, tracking, and reporting.
Cross-Club and Department Team Coordination
- Supports oversight of cross-Club department teams, including meetings, retreats, and the Department Team Leader application process.
- Liaises with other departments and Clubs as needed to ensure alignment and information flow across the organization.
Teen Program and Workforce Pipeline Support
Systems and Process Improvement
- Identifies opportunities to streamline recurring administrative and event-tracking processes, including digital tools for in-kind donation tracking and event budget reconciliation.
- Partners with Program & Impact leadership to explore AI-assisted drafting tools for routine communications and first-pass event materials, freeing capacity for higher-value coordination work.

QUALIFICATIONS
Required
- Two-three years of administrative/office and/or Program & Impact support experience
- Excellent analytical, problem-solving, and organizational skills, and ability to manage multiple tasks and projects simultaneously.
- Strong interpersonal/communication skills, with ability to interact with a variety of audiences, including staff, board members, volunteers, and key individuals at partner organizations.
- Ability to adapt to changing priorities in a fast-paced environment, while maintaining strong attention to detail.
- Ability to work independently and as part of a team.
- Advanced knowledge of Microsoft Office and ability to query complex database systems, such as, to collect and organize data for research/reporting purposes.
- Willingness and flexibility to work occasional evenings and weekends for Program & Impact and/or agency events.
- Valid driver’s license required and ability to commute throughout the Metro-Boston area as needed.
- Ability to lift up to 25 lbs. to assist in transport of donated goods.
Preferred
- Bachelor’s degree in business administration, operations management, logistics or economics
- Bilingual or multilingual skills.
TRAVEL
Travel between clubs at least once per week

SALARY & BENEFITS
Salary - $24.18/hour - $30.2198/hour - commensurate with experience; along with competitive benefits and a great work environment
