Internal and external candidates will be considered for this vacancy. For the purposes of this vacancy, internal candidates are defined as staff members holding a regular, fixed-term or short-term graded or ungraded contract, including Junior Professional Officers (JPOs), staff on Special Leave Without Pay (SLWOP), UN Volunteers with at least twelve (12) months of continuous service in IOM, and staff members on secondment/loan released by the Organization, unless otherwise specified in their contract. Staff members holding a regular, fixed-term or short-term graded contract will not retain their contract type if appointed to an ungraded position.

Organizational Context and Scope

In the framework of the situation regarding the migrants, asylum seekers and refugees across Greece, IOM Greece is establishing a pool of candidates interested to join the organization as soon as possible. The action under which the candidates will be selected shall contribute to the provision of targeted support to the National Authorities for the arrangement of sea and land transportation of third country nationals from the island of Crete. Therefore, IOM will capitalize on its extensive experience on the areas of movements so as to provide tailored support and interventions.

Under the overall supervision of the National Cluster Coordinator and the direct supervision of the Project Assistant, the successful candidate will be responsible for providing operational support for the arrangement of movements of third country nationals.

1. Ensure security, order, and confidentiality of all interactions and transactions at all stages of the preparation of the movement processing.

2. Ensure that all operational procedures implemented are according to IOM standards, guidelines and operating procedures.

3. Ensure compliance with IOM administrative standards and designated procedures.

4. Make use of the IOM Business Applications for movements (MIMOSA, ALWIS).

5.Provide support to the national authorities for the embarkation process of third country nationals for the sea and land transportation in the different locations and ensure the proper and smooth handover process.

6.Conduct travel on duties in different/assigned location to assist the national authorities with the disembarkation process.

7. Support in the distribution of meals/snkacks to third country nationals during the embarkation process.

8. Ensure consolidation of all supportive document of the movement such as signature lists, signed handover notes with the national authorities.

9. Gather, file and keep track of all required reporting documents.

10. Collect information and share experience on possible procedure improvements.

11. Produce regular reporting input in formats designated.

12. Perform such other related duties as may be assigned.

Required Qualifications and Experience

Education

  • High School diploma/ certificate with minimum three years of relevant work experience.
  • University degree in Social Sciences, Humanities, Psychology or a related field from an accredited academic institution with minimum one year of work experience

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Previous experience of at least one year in a similar role preferred;
  • Familiar with direct assistance to migrants and/or refugees preferred;
  • Experience in working in a multi-cultural environment an advantage.

Skills

  • Computer literacy in standard software applications (MS Office, etc) will be considered an asset;
  • Willingness to work in day/night shifts, during holidays and weekends;
  • Valid driver’s license with at least five years driving experience an advantage.
  • Flexibility and capacity in conflict resolution;
  • Good communication skills, personal commitment and efficiency.

All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).

For this position, fluency in English and/or Greek (oral and written) is required.

Fluency in Arabic, would be considered as an advantage.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
