Operations Administrator – Supply Specialist

Location: Johannesburg (In-Office)

We are seeking a Pathfinder, a proactive, detail-obsessed professional to serve as the administrative, billing, and compliance backbone of our global supply operations. Reporting directly to the Head of Global Supply Excellence, you won’t just follow a map; you will help refine it.

Working from our office in Melrose Arch, you will be the ultimate guardian of our Zoho CRM supplier modules, ensuring our data is pristine, our global billing is airtight, and our international compliance standards are never compromised. If you love structure, logic, and collaborating in person to turn chaotic administrative tasks into smooth, global workflows, we want you on our team.

Key Responsibilities

Global Supplier Compliance & Admin

• Global Gatekeeper: Maintain strict compliance standards for our suppliers on a global scale, keeping abreast of changing international regulatory requirements.
• Document Management: Maintain meticulously organised digital filing systems, ensuring all global supplier contracts are fully executed and securely stored.
• General Support: Provide ad-hoc administrative and operational support to the Head of Global Supply Excellence as required.

Zoho CRM & Supplier Data Integrity

• Source of Truth: Own the ongoing maintenance of the supplier modules within Zoho CRM to ensure absolute data accuracy and completeness.
• Workflow Automation: Manage lead-to-signed workflows and identify "friction points" to build out automated Zoho solutions.
• Reporting: Generate regular reports on pipeline health, supplier data status, and administrative bottlenecks.
  

Global Billing & Incentive Programs

• End-to-End Billing: Execute global supplier billing cycles and seamlessly communicate invoicing information to internal teams and external stakeholders.
• Incentive Management: Administer and manage global supplier incentive programs, ensuring accurate tracking and execution.
• Reconciliation & Collections: Reconcile accounts, spot billing discrepancies early, and follow up on overdue invoices with firm, professional persistence.

Job Requirements

• Zoho Expertise: Proficiency in Zoho CRM (including Blueprints, Canvas, and Reports) with the ability to maintain modules and build out workflows.
• Education: A completed qualification in Data, Finance, or a related field advantageous
• Compliance & Data Literacy: Proven experience handling sensitive data, contracts, or regulatory filings (global experience is a major plus).
• Project Management: Exceptional organisational skills with the ability to juggle global deadlines without dropping a single plate.
• Bonus Points: Prior experience in Billing, Bookkeeping, or working with finance suites like Xero/Sage.
