About the role:

Northfleet is seeking a proactive and organised Operations Administrator to support the efficient day-to-day coordination of fleet operations, personnel, and administrative activities of the Port Hedland Depot. Reporting to the Operations Manager, you will play a key role in ensuring operational compliance, resource scheduling, customer service, and administrative support across the business.

Responsibilities

  • Coordinate fleet and personnel movements using Fleet Management Systems (FMS) and other communication tools.
  • Schedule and allocate resources to meet client requirements efficiently and safely.
  • Maintain operational records, compliance documentation, licences, training registers, and reporting systems.
  • Coordinate onboarding activities, including new starter documentation, inductions, medicals, and travel arrangements.
  • Assist with purchase orders, supplier liaison, workshop administration, and document control.
  • Manage on-hire and off-hire processes for fleet assets.
  • Liaise with drivers, operators, clients, and suppliers to ensure smooth service delivery.
  • Ensure all job-related information, permits, and site requirements are communicated accurately.
  • Support workplace health and safety initiatives and report incidents to the Operations Manager.
  • Provide general administration and customer service support as required.

About You:

  • Previous administration or operations coordination experience.
  • Strong organisational and multitasking skills.
  • Proficient in the Microsoft 365 suite and excellent computer skills.
  • Excellent communication ( both written and verbal) and customer service skills.
  • Understanding of workplace health and safety requirements.
  • Current C Class Driver's Licence
  • Ability to work effectively in a team environment and independently.
  • A proactive approach to problem-solving and a willingness to learn.
  • Currently residing in Port Hedland, WA
  • Experience within transport, logistics, or hire industries (desirable).
  • Business Administration qualification (desirable).
  • Experience using Fleet Management Systems (FMS) (desirable).
