Job Description

This role plays a key part in supporting our leadership team and the wider business unit, which oversees operations across Australia.

To be successful, you will be highly organised, proactive, and confident in building strong working relationships across all levels of the business.

Duties:

  • Managing emails, calendars, BU organisational charts, meeting/event coordination, document filing, and preparing meeting minutes.
  • Reconciling expenses, processing reimbursements, managing corporate credit cards, and raising purchase orders for approval.
  • Coordinating and organising workflows across multiple sites, ensuring consistent administrative practices.
  • Providing training and mentoring for site personnel on various administrative systems and processes.
  • Supporting employee onboarding with system setups, access and equipment arrangements, and planning domestic and international travel with associated cost reconciliation.
  • Compiling data for reports and newsletters, logging and escalating IT issues, and maintaining communication between Brisbane and regional operational teams
  • Driving improvements in administrative tools and workflows while assisting with general operational support as required.

Who are you?

  • Strong administrative and organisational skills, with the ability to manage conflicting deadlines effectively.
  • A positive, approachable, and outgoing personality who thrives in a team-oriented environment but can also work independently.
  • Strong proficiency with IT systems, including Microsoft Word, Excel, and PowerPoint.
  • An ability to streamline processes, improve workflows, and identify opportunities for efficiency.
  • Experience working with purchase orders, and financial expertise will be highly regarded.
