Job Title:   Operations Admin Coordinator - GIP
Department(s): 8600 - Gainesville Inland Port
Location(s):   Gainesville Inland Port
FLSA Status:  Non-Exempt


Under the supervision of the Assistant Manager, the Operations Administrative Coordinator performs a variety of administrative duties related to container handling operations, payroll, and employee-related matters.

Upholds the values of the GPA to promote Safety, Integrity, Respect, Community, Creativity and Opportunity. Promotes a safe work environment by participating in safety initiatives and reporting unsafe conditions and behaviors.

JOB DUTIES:
  • Performs a variety of clerical duties such as filing, mail distribution, copying, answering the telephone, and processing shipping orders.
  • Keeps time cards for hourly paid personnel, and maintains familiarity with policy relating to shift work, overtime, benefits, etc.
  • Serves as the Customer Experience Center for the Gainesville Inland Port.
  • Enters and facilitates orders into the NAVIS system and other terminal management systems based on a variety of customer requests. Verifies orders are complete with information before processing.
  • Communicates verbal orders to yard operators and maintenance personnel.
  • Processes service orders for billing submissions (dig moves, stack relocations, gate overtime, etc.).
  • Adjusts computer inventory to reflect on-port changes, such as physical transfer, transfer of ownership, etc. Reports and corrects discrepancies between physical and computer inventory.
  • Coordinates the movement of all containers within the Gainesville Inland Port.
  • Performs error resolution on containers.
  • Coordinates and Plans import/export/empty containers for efficient yard and rail operations.
  • Performs detailed research and assists in testing new computer procedures and screens.
  • Willing and capable to train other administrative personnel as needed.
  • Performs other duties as assigned

JOB REQUIREMENTS:

Knowledge, Skills, & Abilities
  • Daily work assignment changes will be implemented at management's discretion.
  • Cross-training will be ongoing for assistance in such an event.
  • Typing ability required.
  • Some training in general office procedures necessary.
  • Ability to handle fast pace/stress daily.
  • Ability to quickly analyze problems and take initiative.
  • Must be able to communicate professionally with customers and employees.
  • Ability to work shift work, weekends, holidays, and overtime as required.
  • Ability to learn to operate the GPA computer systems, as well as new technologies or other operating systems that may be required.
  • Ability to interact and communicate effectively and professionally with the GPA staff on all levels of administration, including immediate supervisor, management, and peers required.
Experience
  • Familiarity with operations of shipping industry Preferred
Education
  • Required High School Diploma or equivalent
  • Preferred Bachelor's Degree in business or related field
Licenses & Certifications
  • TWIC - Transportation Worker Identification Credential Required Upon Hire
  • Driver's License - Valid state driver's license Required Upon Hire
