We are an international company with over 20 years of experience in the logistics industry. M9 Logistics is committed to providing outstanding freight forwarding, warehousing, customs clearance, and IT solutions. We operate worldwide in many countries in Europe, Asia, the Americas, and Oceania. And now we are looking for new colleagues as “ Operations & Administrative Assistant” at our Hong Kong office, who will share our values and become part of our friendly M9 team

Key Responsibilities

Finance & Administration

• Process financial tasks: issuing ivoices, processing cheque deposits and entering data into the company’s ERP system.

• Coordinate with sales colleagues for follow-up actions.

• Manage daily administrative duties such as courier services, office supplies, MPF, business travel arrangements etc.

• Perform other ad-hoc tasks assigned by the manager.

Freight Operations

• Obtain competitive pricing from overseas agents through M9 Logistics family network or WCA network.
• Prepare and deliver accurate quotations promptly in accordance with company guidelines.
• Assist Operations Specialist in organizing shipments:
  • Collect required documents from the clients and prepare full set of shipping documents.
  • Place bookings with carriers and coordinate pick-ups with trucking partners.
  • Create job orders in the ERP system, upload relevant document, and verify the details against P&L Excel record.
  • Prepare proforma invoices based on agreed quotations.
  • Verify supplier debit notes (D/N) for accuracy and upload them to the ERP system.

Qualifications & Requirements

• College degree or above
• Fluent in Cantonese, Mandarin, and English.
• Experience in the logistics industry is highly preferred.
