Job Description

Power your future with Qualus in our Operational Excellence department as a Operational Excellence Intern. The Operational Excellence Intern supports initiatives focused on process improvement, workforce development, and document governance. This role will assist in the creation and maintenance of technical development materials, coordinate reviews with subject matter experts (SMEs), and help produce professional-quality policies, procedures, and other business documents. The ideal candidate is organized, detail-oriented, comfortable learning new technologies, and interested in leveraging AI tools to improve business processes and productivity.

Responsibilities

Technical Development Content Support

  • Assist in drafting technical development objectives and learning materials using established processes and AI-enabled tools such as Microsoft Copilot.
  • Review and refine draft content for consistency, clarity, formatting, and alignment with organizational standards.
  • Track objective development progress and maintain status updates throughout the review process.
  • Coordinate and facilitate reviews with technical subject matter experts to ensure content accuracy and completeness.
  • Follow up with stakeholders and SMEs to gather information, feedback, and approvals necessary to advance content through development stages.

Document Development & Governance

  • Format and prepare professional policies, procedures, standards, work instructions, and training materials.
  • Ensure documents adhere to organizational templates, branding, and document control requirements.
  • Support document updates, revisions, version tracking, and publishing activities.
  • Assist with document audits and quality reviews to maintain consistency across company resources.

Process Improvement & Operational Support

  • Assist with process documentation, workflow mapping, and continuous improvement initiatives.
  • Gather information and organize data used to support operational excellence projects.
  • Identify opportunities to streamline administrative processes through automation, AI tools, and standardized workflows.
  • Support implementation and maintenance of knowledge management resources and repositories.

Administrative & Project Coordination

  • Schedule meetings and coordinate communications with SMEs and project stakeholders.
  • Maintain project trackers, action-item logs, and status dashboards.
  • Prepare meeting notes, follow-up communications, and progress summaries.
  • Provide general administrative support for Operational Excellence, Training & Development, and process improvement initiatives.

Minimum Qualifications

  • Currently pursuing in a degree program with sophomore standing or higher.
  • Currently pursuing a degree in Business Administration, Organizational Development, Engineering Technology, Technical Communications, Education, Information Systems, or a related field.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
