Job Description

TAKKION is seeking a highly organized and detail-oriented Operational Excellence Administrator to support continuous improvement initiatives, performance tracking, reporting, and process standardization across the organization. This role serves as a key administrative partner to Operations, Safety, Finance, HR, and Leadership teams by maintaining operational data, supporting reporting requirements, coordinating improvement projects, and helping ensure consistent execution of Operational Excellence programs.

Key Responsibilities

Operational Reporting & Analytics

  1. Maintain and update operational dashboards, KPI reports, and performance scorecards.
  2. Compile and distribute weekly and monthly operational performance reports.
  3. Track key metrics.
  4. Assist with data collection, validation, and reporting accuracy.
  5. Support leadership with operational reporting and presentation materials.

Process & Documentation Management

  1. Maintain standard operating procedures (SOPs), work instructions, forms, and process documentation.
  2. Ensure operational documents are organized, updated, and accessible.
  3. Support document control and version management.
  4. Assist in creating process maps, workflows, and training materials.

Continuous Improvement Support

  1. Support Operational Excellence initiatives and improvement projects.
  2. Track action items, project milestones, and continuous improvement activities.
  3. Assist with root cause analysis documentation and corrective action tracking.
  4. Coordinate meetings, workshops, and improvement events.
  5. Monitor progress of operational improvement initiatives and provide status updates.

Training & Compliance Tracking

  1. Track employee training completion and compliance requirements.
  2. Maintain records related to operational certifications, qualifications, and compliance programs.
  3. Support audits and compliance reviews by gathering required documentation.
  4. Assist with onboarding and operational training coordination.

Project & Administrative Support

  1. Schedule meetings, prepare agendas, and distribute meeting notes.
  2. Assist with project coordination and cross-functional communication.
  3. Maintain operational trackers and project status reports.
  4. Support leadership with special projects and business initiatives.
  5. Coordinate travel, meeting logistics, and administrative tasks as needed.

Data Management

  1. Maintain databases and tracking systems related to operational performance.
  2. Ensure accuracy and consistency of operational data.
  3. Assist in developing and improving reporting processes.
  4. Support Power BI, D365, and other business system data management activities.
Requirements

Required Qualifications

  • Associate’s degree in business administration, Operations, Project Management, or related field; equivalent experience considered.
  • Minimum 2 years of experience in an administrative, operations support, project coordination, or business support role.
  • Strong proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Teams.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Experience supporting Operations, Continuous Improvement, Project Management, or Business Operations teams.
  • Experience in construction, renewable energy, transportation, logistics, industrial services, or field operations.
  • Experience with Power BI, D365, SharePoint, Procore, or similar business systems.
  • Knowledge of KPI reporting and operational metrics.
  • Experience supporting Lean, Six Sigma, or Continuous Improvement initiatives.
