Operational Administrator

Hours: 7:00am to 3:00pm

We're looking for a highly organised and proactive Operational Administrator to join our busy operations team. This is a fantastic opportunity for someone who enjoys working in a fast-paced environment, thrives on organisation, and takes pride in delivering excellent customer service and administrative support.

As an Operational Administrator, you'll play a vital role in ensuring the smooth day-to-day running of our operations. You'll work closely with colleagues, clients, and stakeholders, supporting business activities through effective administration, accurate reporting, and excellent communication.

Your core responsibilities

  • Producing accurate client reports and operational documentation.
  • Managing high volumes of telephone calls and emails professionally and efficiently.
  • Using our operational systems, including Whitespace, to update records, manage round changes, and support daily operations.
  • Creating and maintaining Excel spreadsheets and operational reports.
  • Acting as a key point of contact for external clients, including private landlords, responding to enquiries and managing account administration.
  • Supporting senior managers with administrative tasks and information requests.
  • Attending client meetings, taking accurate minutes, and distributing meeting notes.
  • Preparing business correspondence including letters, forms, reports, and other documentation.
  • Maintaining accurate records while handling confidential information appropriately.
  • Learning and using the Intelligent Vehicle Monitoring System (IVMS) to support operational activities.
  • Providing general administrative support across the wider operations team.

Our essential requirements

  • Highly organised with excellent time management skills.
  • An effective communicator with outstanding written and verbal communication abilities.
  • Experienced in a busy administrative or office support role.
  • Confident using Microsoft Office, particularly Excel, Outlook, and Word.
  • Accurate, detail-oriented, and able to work to tight deadlines.
  • Professional, approachable, and confident dealing with customers and colleagues.
  • Able to prioritise competing workloads and work both independently and as part of a team.
  • A proactive problem solver who enjoys improving processes and finding solutions.

It would be great if you also have

  • Experience using Whitespace or similar workforce management software.
  • Experience using Intelligent Vehicle Monitoring Systems (IVMS) or similar vehicle tracking software.
  • Experience producing management reports and analysing operational data.
  • Previous experience working with external clients or managing customer accounts.
