Job Description

We are seeking a reliable and detail-oriented Admin Executive to support the daily administrative and financial operations of our recruitment firm. This role plays a critical part in ensuring smooth internal processes, accurate reporting, and timely coordination with candidates, clients, and relevant authorities.

Key Responsibilities

Finance & Administration

  • Process and record bank transactions for staff payments, reimbursements, and operational expenses
  • Prepare, issue, and submit monthly invoices to clients
  • Monitor company bank accounts and verify client payments
  • Follow up with clients on outstanding invoices and send payment reminders professionally
  • Maintain proper filing and records of financial documents and transactions

Reporting & Compliance

  • Prepare and submit required reports to government bodies and relevant authorities
  • Ensure administrative documents are accurate, complete, and submitted on time

Coordination & Support

  • Arrange and host meetings for candidates and clients (online or physical)
  • Coordinate schedules, meeting links, and basic meeting documentation
  • Provide general administrative support to consultants and management
  • General Office Administration
  • Maintain organised records for invoices, contracts, and internal documentation
  • Handle ad-hoc administrative tasks as required to support business operations

Requirements

  • Diploma or Degree in Business Administration, Accounting, or related fields
  • Prior experience in administration, finance support, or professional services is an advantage
  • Strong attention to detail and organisational skills
  • Good communication skills and professionalism when dealing with clients
  • Proficient in ChatGPT, Deepseek, Microsoft Office / Google Workspace
