The Manager of Urgent Care is an administrative position responsible for assisting in the oversight and management of the daily operations for multiple geographically dispersed urgent care locations. The Manager of Urgent Care Operations will need to travel to the various clinics regularly. This position will have oversight over 4 Site Managers, who will each have responsibility over 5 urgent care sites. The Manager of Urgent Care Operations will assist Site Managers as they provide oversight and mentoring for the Clinical Concierges and APP staff, overall operations of modern urgent care and maintaining operational efforts within the guidelines, policies & procedures, and Key Quality Indicators. This individual maintains broad responsibilities for all administrative functions of the clinic locations, including operations, marketing, finance, assisting in payor contracting, staff compensation, reimbursement information, human resource management, medical and business information systems, ancillary service general knowledge, and planning and development. Reports to the Director of Operations.

  • Assists overseeing administrative management of support staff providing direction and guidance and administering management functions within the provisions of health system policies & standards and federal, state, and local regulations
  • Works with Site Managers to monitor, manage, and organize team responsibilities and resources to achieve success in all areas of the urgent care site including strategic, operational, financial, clinical, deployment, integration, and brand goals
  • In collaboration with team members and leadership, builds an urgent care site culture of quality and safety, operational efficiency, customer experience excellence, brand promotion & immersion, and comprehensive integration through standardization, relationship building, management of resources, and outcomes monitoring
  • Maintains financial accountability by reviewing monthly variance reports and implements action plans
  • Collaborates with other departments to obtain accurate charges, coding or other information needed for resolution of accounts
  • Reviews and approve write offs for bad debt and/or turning patient accounts to third party collection agencies
  • Participates in the development of the operating and capital budgets as requested by the Director of Operations
  • Mentors and coaches Site Managers to achieve goals for improvement in all areas
  • Monitors key performance indicators (door-to-door times, Net Promoter Scores, consumers/provider/ hour, financial metrics, clinical metrics) and develops and activates action plans to address areas for improvement
  • Participates with and makes recommendations to the Director of Operations to make decisions that affect the strategic direction, operational model, brand, and quality consumer care
  • Reviews monthly management reports through working with the Site Managers to identify potential cost reductions/revenue enhancements
  • Identifies opportunities for improving efficiencies to achieve benchmark objectives and ensure a high level of consumer satisfaction and service
  • Responsible for assisting in the implementation and ongoing operation of EMR systems at all service sites
  • Works with Site Managers to ensure a positive team environment and effective organizational change
  • Works in collaboration with Site Managers and Education Department to fulfill regulatory education and training criteria
  • Acts as a consumer advocate and provides resolution of consumer complaints regarding practice services that are not resolved by the Site Managers. Unresolved issues will be forwarded to the Director of Operations
  • Works with Director of Operations and Site Managers to initiate the hiring process for open positions, interviews and hiring decisions
  • Evaluates employee work performance, and determines merit increase for their site and assists other Site managers as required
  • Administers employee work schedule to assure customer satisfaction and to ensure that clinic financial goals are met

QUALIFICATIONS

  • Master's Degree in a related field and 3 years of work experience in health care management

    OR

  • Bachelor's Degree in a related field and 4 years of work experience in health care management OR

  • 5 years of work experience in a medical group practice AND

  • Current licensure as a Registered Nurse (RN) in the State of Oklahoma or current multistate license from a Nurse Licensure Compact (eNLC) member state

  • OR LPN (Licensed Practical Nurse) Current licensure as a Licensed Practical Nurse (LPN) in the State of Oklahoma or current multistate license from a Nurse Licensure Compact (eNLC) member state

  • Current Certification as a Medical Assistant, AAH-RMA (American Allied Health-Registered Medical Assistant) OR AAMA-CMA (American Association of Medical Assistants-Certified Medical Assistant) OR AAMP-RMA (American Association of Medical Personnel-Registered Medical Assistant) OR ARMA-RMcA (American Registry of Medical Assistants-Registered Medical Assistant) OR AMT-RMA (American Medical Technologists-Registered Medical Assistant) OR NCCT-NCMA (National Center for Competency Testing-Nationally Certified Medical Assistant) OR NHA-CCMA (National Healthcareer Association-Certified Clinical Medical Assistant)
