
1. Assist in developing and executing procurement strategies for construction projects and hotel pre-opening activities. Source and evaluate suppliers for construction materials, FF&E, OS&E, and operational supplies. Obtain and analyze quotations, prepare comparison sheets, and recommend suppliers. Conduct price negotiations to achieve cost savings and best value.
2. Coordinate closely with project managers, engineers, consultants, and contractors / suppliers to understand procurement specifications and timelines. Monitor procurement schedules to ensure materials and services are delivered according to project milestones. Support tendering processes including RFP/RFQ preparation, bid evaluation, and contract documentation. Ensure compliance with technical specifications and quality standards.
3. Coordinate procurement of OS&E and pre-opening supplies in line with brand standards and operational requirements. Work with department heads (e.g., Rooms Division, F&B, Engineering, Housekeeping) to consolidate pre-opening procurement lists. Track delivery schedules and coordinate logistics for timely hotel opening.
4. Maintain supplier database and performance evaluation records. Assist in drafting and reviewing purchase agreements and contracts. Monitor vendor performance and resolve supply or quality issues. Ensure compliance with company procurement policies and procedures.
5. Track and preprae report, monitor procurement expenses against approved budgets. Identify cost-saving opportunities and alternative sourcing options. Prepare procurement reports for management review.
6. Ensure accurate documentation of purchase orders, contracts, invoices, and delivery notes. Maintain proper audit trails and compliance with internal control procedures. Support internal and external audits when required.
Bachelor’s degree in Engineering, Construction Management, Supply Chain Management or related field.
5-10 years of procurement experience, preferably in construction, hospitality, or hotel pre-opening projects. Experience working in MNC is preferred.
Strong negotiation and vendor management skills. Strong analytical and problem-solving abilities.
Knowledge of construction, FF&E and OS&E procurement is an advantage.
Understanding of tendering and contract processes. Budgeting and cost control experience.
Excellent coordination and communication skills. Ability to work under pressure and meet project deadlines.
Detail-oriented and highly organized with strong coordination and communication skills.
Proactive and solution-driven. Strong teamwork and cross-functional collaboration skills.
Proficient in MS Office and procurement systems.
