Responsibilities/Skills/Experience Requirements

JOB DUTIES/RESPONSIBILITIES:

  • Administers pre-employment drug screen (DS), criminal background check (CBC) and motor vehicle report (MVR) processes, including data entry into multiple databases, review of 5-day cycle time target adherence, and communication with hiring managers and field Human Resources (HR) representatives to obtain missing information and provide applicants' hiring status
  • Processes CBC/MVR for internal candidates transferring into a Select Position, following internal Standard Operating Procedures (SOPs) to ensure the correct process is followed
  • Acts as the primary liaison between hiring managers, applicants, third-party vendors, Sears evaluators and the Legal Department for pre-employment activities
  • Audits pre-employment data to identify compliance issues to bring to the attention of HR and corporate/field management to drive improvement and accountability
  • Communicates pre-adverse and adverse action determinations from the Sears evaluator to hiring managers and field HR representatives
  • Sends correspondence regarding unfavorable results to applicants and contingent hires in compliance with the Fair Credit Reporting Act for those with a Not Clear for Hire result due to an MVR
  • Responds to inquiries regarding drug screen collection sites; communicates with the Medical Review Officer regarding questionable drug screens
  • Creates electronic employee personnel files in HR Scanning and maintains both pre-employment and Select Position documents in the electronic file
  • Develops and implements process revisions to continually improve the efficiency of compliance efforts
  • Acts as primary HR contact for supported departments, providing timely, courteous internal customer service; communicates routine SHIP policies and procedures and distributes HR and Sears communications as needed, involving HR management in issues they cannot resolve
  • Responds to general benefit inquiries and refers associates to the appropriate contact for complex matters that cannot be addressed by this office
  • Completes weekly reports notifying management of pre-employment candidate status; communicates delays of 7 days or more via weekly report and provides verbal follow-up for complex delays
  • Follows up frequently with vendors/evaluators for status updates on delayed results, escalating to HR management as necessary
  • Enters accurate pre-employment data into the HR Scorecard monthly
  • Inputs data related to salaried absences, assists associates and managers with attendance records, and forwards monthly absence reports to management
  • Assists with coordination and facilitation of Corporate HR activities
  • Creates and updates flow charts, reports and other documents related to pre-employment functions
  • Maintains strict confidentiality of all data and information administered under these programs
  • Assists other HR Department staff with assigned projects, events and special assignments, and acts as backup to other HR non-exempt staff
  • Performs routine administrative tasks including copying, faxing, file maintenance, mail processing and setting up conference calls
  • Maintains professional integrity in compliance with Sears mission, vision and values
  • Maintains an excellent attendance record
  • Ensures dedication to understanding customer needs and exceeding their expectations
  • Represents the organization in a positive and professional manner
  • Acts as a role model in demonstrating the organization's customer service standards
  • Performs other duties as assigned
