Salary: Starting at $55000 / Annually - depending on education / experience

Job Summary:

Coordinates all onboarding needs for Woods System of Care employees.

Responsibilities

  • Conducts New Employee Orientation
  • Serves as liaison between Talent Acquisition and hiring managers
  • Provides prompt customer service to ensure outstanding onboarding experience. This includes, but is not limited to, promptly answering telephone calls and emails from candidates, coworkers and managers, answering questions related to onboarding policies
  • Ensures the onboarding process meets all requirements and adheres to all employment laws/regulations
  • Conducts and maintains pre-employment screening schedule, including background checks, fingerprinting and Diana Screen, if applicable
  • Tracks and documents pre-employment status through use of ATS (applicant tracking system) and/or HCM Database, ensuring data integrity and compliance
  • Coordinates and accurately processes all onboarding paperwork including, but not limited to, background checks, credential verification, I-9 Employment Eligibility forms, and W-4 Employee Withholding Certificate
  • Ensures Social Security Number verifications are completed
  • Performs routine audits to ensure applicant and new employee compliance with required documentation, screenings licenses, credentialing and trainings. Also conducts required follow up
  • Responsible for scanning and indexing documentation for various HR files to be maintained in database
  • Conducts audits, at least quarterly, to ensure compliance and consistency
  • Assists in maintaining, educating and applying HR Policies
  • HCM database and vendor portal maintenance
  • Maintains confidentiality of all subject matter as appropriate
  • Collaborates with counterparts
  • Assists Onboarding Manager as needed
  • Performs other duties as assigned

Qualifications

EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in Human Resources, Business Administration, or a related field required, plus 2 years of HR experience. Commensurate relevant experience may be considered in lieu of a degree.

SKILLS, KNOWLEDGE AND ABILITIES

  • Working knowledge of Federal, Pennsylvania, and New Jersey labor and employment laws and regulations, including I-9 compliance requirements.
  • Strong computer proficiency, including Microsoft Office Suite and HR technology systems.
  • Ability to operate a copier, fax, scanner, and telephone.
  • Ability to concentrate, demonstrate initiative, manage competing priorities, and use independent judgment to accomplish results.
  • Excellent verbal and written communication skills.
  • Strong organizational and analytical skills.
  • Ability to sit, stand, bend, push, pull, and lift up to 20 pounds. Sits for extended periods to input information. Cognitive, verbal, and manual skills necessary. Hearing and visual acuity necessary; corrective devices acceptable. Must be able to work under required deadline schedules, while being flexible to special requests and projects. Must be able to professionally handle stressful situations.

CERTIFICATIONS, LICENSES AND REGISTRATIONS

  • Employee must possess a valid driver’s license and be able to drive to various locations across the system of care.
