Position Title: Onboarding Assistant
To ensure a smooth, timely, and compliant onboarding process by accurately managing pre-employment requirements, maintaining complete and reliable employee records, and supporting Day 1 readiness to deliver a positive onboarding experience for new hires
- Ensures applicants are fully informed of pre-employment requirements and complete them accurately and within prescribed timelines.
- Maintainscompleteness and accuracy of pre-hiring documentation to support compliant and timely hiring decisions.
- Facilitates medical clearance and background investigation processes to ensure all candidates are assessed as fit to work prior to onboarding.
- Resolves payroll discrepancies promptly to ensure accurate salary processing and employee satisfaction.
- Delivers timely and accurate hiring rosters every 1st and 16th of the month to support workforce onboarding schedules.
- Maintains integrity, accuracy, and completeness of employee data in the Human Resources Information System (HRIS) to support downstream HR processes.
- Ensures timely distribution of Day 1 schedules and employment documents to enable a smooth onboarding experience.
- Establishes complete and compliant employee 201 files for secure records management and audit readiness.
- Supports effective onboarding experience by facilitating orientation sessions and ensuring new hires are properly oriented on policies and processes.
- Ensures Day 1 readiness by preparing and distributing complete onboarding kits, including IDs, ATM cards, and welcome materials.
- Provides administrative support as needed to ensure continuity and efficiency of onboarding operations.
Qualifications:
- Bachelor's degree in Human Resources, Psychology, Business Administration, or any related field.
- At least 6 months to 1 year of experience in HR administrative, onboarding, or recruitment support functions.
- Experience in handling HR documentation, employee records, and other administrative tasks.
- Strong stakeholder management skills with the ability to coordinate effectively with candidates, hiring managers, and internal teams.
- Detail-oriented with a high level of accuracy in processing and monitoring onboarding requirements.
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Excellent written and verbal communication skills.
- Able to manage multiple tasks and meet deadlines in a fast-paced environment.
- Demonstrates professionalism, customer service orientation, and commitment to delivering a positive onboarding experience.
