NE09The Onboarding and Recruitment Coordinator coordinates recruitment, hiring, onboarding, payroll-related transactions, and employment compliance activities to support the College’s workforce. By partnering with applicants, employees, hiring managers, and campus departments, this position ensures employment processes are processed accurately, efficiently, and in compliance with applicable laws, regulations, and College policies while delivering an exceptional employee experience from recruitment to onboarding.

This position will remain open until filled. First review of applications will begin on August 3, 2026.

MAJOR DUTIES

  • Process hiring, transfers, and employment transactions within Workday while ensuring accuracy and adherence to payroll deadlines.
  • Administer the full lifecycle of the student employment process, including but not limited to job postings, applicant management, hiring, onboarding, and orientation.
  • Verify new hire paperwork for completeness, accuracy, and compliance with established College policies and procedures and applicable state and federal regulations prior to setting up new positions and employees in the payroll system; track and ensure completion of I-9 and other compliance documents.
  • Ensure compliance with federal, state, and local employment laws, regulations, and College policies by monitoring HR practices, administering employment verification processes, conducting internal compliance audits, and maintaining employment records in accordance with applicable record retention requirements.
  • Prepare, maintain and update new employee information in Workday, databases, tracking logs and/or other related documents in support of recruiting and onboarding functions.
  • Manage the criminal background check process and ensures legal and internal processes compliance.
  • Coordinate the One-Time Payment and Period Activity Pay Assignment processes by collaborating with departments to collect, review, and process payment requests. Ensures payment requests are complete, appropriately approved, accurately entered, and processed in accordance with payroll deadlines. Assists the Talent and Compensation Analyst with Workday EIB uploads and supports the identification and resolution of transaction errors during testing and processing.
  • Conduct new employee and student employee orientations and provide presentations on Human Resources information and resources.
  • Coordinate campus tours and onboarding activities that promote employee engagement and a welcoming experience.
  • Conduct trainings to college employees upon request.
  • Serve as primary point of contact for recruitment and onboarding questions from employees, applicants, students, and departments.
  • Provide responsive customer service while maintaining confidentiality and professionalism.
  • In collaboration with the Talent and Compensation Analyst, coordinates the interview documentation process through SharePoint, by distributing, tracking, and collecting required interview materials, following up with hiring managers to ensure timely completion and compliance in support of compliant hiring practices.
  • Provide assistance with transcript collection and saving to employee files.
  • Assist with front desk operations and provide administrative support during periods of high activity or staff absences.
  • Assist with employment verification requests and other HR operational activities.
  • Serve as back-up to the Administrative Assistant to the Vice President for Human Resources and Legal Activities.
  • Perform related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of computers and job-related software programs.

  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral, interpersonal and written communication.
  • Knowledge of data entry procedures and HRIS systems.
  • Knowledge of confidentiality standards and best practices for handling sensitive personnel and organizational information.

SUPERVISORY CONTROLS

The Human Capital Management (HCM) Officer assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include relevant state and federal employment laws, employee handbooks, and college and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

  • The work consists of related recruitment, administrative and Human Resources duties. Frequent interruptions and multiple competing deadlines contribute to the complexity of the position.
  • The purpose of this position is to provide support for human resources department operations. Successful performance contributes to the efficiency and effectiveness of those operations.

  • Contacts are typically with co-workers, other college employees, students, the general public, and external agencies on an occasional basis.
  • Contacts are typically to give or exchange information, resolve problems, and provide services and training of College staff.

PHYSICAL DEMANDS/WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
  • The work is typically performed in an office.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

This position may assist in the supervision of student employees.

MINIMUM QUALIFICATIONS

  • High School degree or equivalent required.
  • Two years of progressively responsible administrative experience supporting human resources, payroll, recruitment, or related business operations required.
  • Experience using a Human Resources Information System (HRIS), preferably Workday, is preferred.
  • Experience coordinating multiple projects while meeting deadlines in a fast-paced environment is preferred.
