The Onboarding Program Manager plays a critical role in ensuring a referable onboarding experience for firms by managing key operational processes and collaborating with stakeholders. This role involves overseeing documentation, facilitating data uploads, coordinating appointment requests, and supporting onboarding consultants to drive efficiency and accuracy across onboarding functions

What you’ll Do

To perform this job successfully, the individual must be able to execute the following responsibilities effectively:

  • Collaborate with Onboarding Consultants (OBCs) to review, revise, and upload bulk upload spreadsheets to the SRE team.
  • Maintain and update Onboarding Standard Operating Procedure (SOP) documents in Whale and ensure the accuracy of other relevant documents stored in SharePoint.
  • Assist OBCs in generating and running reports for onboarding firms as needed.
  • Submit carrier appointment requests for onboarding firms and proactively follow up to ensure timely processing.
  • Manage and submit all NFS logo installation requests for onboarding firms ahead of deadlines to ensure prompt installation.
  • Participate in weekly firm check-in meetings with OBCs as needed and provide coverage in their absence.
  • Uphold high standards of professionalism, integrity, and leadership throughout all projects, both internally and externally, aligning with the organization's business philosophies and protocols.
  • Demonstrate professionalism, accountability, client focus, advocacy, teamwork, and integrity in all interactions.
  • Complete special projects assigned by leadership.

What You Bring:

To perform this job successfully, an individual should have the following skills and abilities:

  • 3-5 years of project management experience- including hands-on use of project plans, issue tracking, and resolution.
  • Proficiency in project management tools- including MS Excel, Smartsheets, JIRA, and Confluence.
  • Strong project management expertise- a proven ability to create, oversee and execute initiatives effectively.
  • Proficiency in desktop and web-based applications- ensuring seamless workflow and communication.
  • Exceptional organizational skills- the ability to strategically and tactically structure and manage activities.
  • Adaptability in a fast-paced environment- demonstrating agility in responding to changing priorities.
  • Excellent communication skills- including verbal, written, presentation, and meeting facilitation.
  • Strong interpersonal and teamwork abilities- fostering collaboration across departments and stakeholders.

Internal Application Policy:

Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
