Under general supervision and as part of a team, performs general customer service and receptionist duties which includes first point of contact with older adults at one of the Age Well Centers. This position also includes cash and credit card handling, registration of programs using a recreation software platform, and general program and staff support.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answers phone and transfers calls as needed and provides superior customer service.
  • Answers general questions from customers and community members.
  • Provides program support and registers customers for programs using a recreation software platform.
  • Follows daily cash and credit card handling and reconciliation procedures.
  • Checks customers in for programs when needed.
  • Maintains onsite information systems such as bulletin boards, lobby monitor, resource, and promotional materials.
  • Provides periodic special projects assistance to program staff.
  • Assists Facilities Operations Specialist or other staff with room set up and prepares the room set up book.
  • Opens, closes, and secures the facility.
  • Provides coverage for after-hours events as needed.
  • Works collaboratively and effectively as an inter-divisional and inter-departmental team member.
  • Attends division, department and city meetings.
  • Stays knowledgeable and up to date of trends in the field.
  • Participates in professional development trainings as outlined in annual performance review.
  • Performs related duties as required by management to meet the needs of the department and city.
  • Knows and complies with all city and department policies and procedures.

MINIMUM QUALIFICATIONS

  • Ability to demonstrate excellent verbal and written communication skills.
  • Ability to demonstrate superior skill in customer service.
  • Ability to take proper safety precautions to prevent accidents. Responsible for the safety of self, others, materials, and equipment. Use all required safety equipment and follow all safety regulations, policies and procedures. Report all accidents and damage to city property.
  • Ability to work effectively with other employees, the public and specifically, older adults.
  • Ability to work with computers and related program software.
  • Must successfully pass a background check before first day of work and maintain acceptable screening.

PREFERRED QUALIFICATIONS

  • Ability to demonstrate previous experience working in a center for older adults or community center.
  • Ability to read, write and speak English and Spanish in a professional capacity for communication objectives.
  • Skill in and experience with recreation software.

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • High School diploma or GED.
  • One (1) year professional experience in customer service, facility operations, receptionist, and cash handling or any combination.

WORKING CONDITIONS AND REQUIREMENTS

  • Physical and Mental Effort Primarily sedentary physical work requiring the ability to lift a maximum of twenty (20) pounds; occasional lifting, carrying, walking and standing; frequent hand/eye coordination to operate computers and office equipment; vision for reading, recording and interpreting information; ability to communicate with employees and the public.
  • Work Environment: Works primarily in a clean, comfortable environment. Some evening and weekend meetings may be required to perform the duties and responsibilities.
  • Machines and Equipment Used: Computers, digital camera, financial calculator, typewriter, and multi-function printers.
