
Officer – Security Permits & Gov. Relation is responsible for providing administrative support for the permitting process for all AD Ports relevant security permits across the group. The Officer is also responsible for preparing and maintained detailed reports and records, tracking status, and providing guidance and support to other departments regarding permit/inspection requirements.
Core Responsibilities:
Assist in researching and understanding local and/or international security regulations (if required) relevant to AD Ports Group, ensuring comprehensive knowledge of permit requirements and processes.
Collaborate with the line Manager to prepare and submit permit/inspection applications to the appropriate government agencies, adhering to prescribed guidelines and timelines.
Facilitate the coordination of relevant documentation and information required for permit/inspection applications, working closely with internal stakeholders to ensure accuracy and completeness.
Provide support in tracking the status of permit/inspection applications, ensuring timely follow-ups with government agencies and external partners to facilitate prompt approvals.
Help in maintaining accurate and up-to-date records of all permit/inspection applications, approvals, and associated documentation, ensuring easy access for reference and reporting purposes.
Support the development and implementation of standardized procedures and templates for the permit/inspection application process, contributing to improved efficiency and consistency.
Offer guidance and support to other departments within AD Ports Group regarding security permit/inspection requirements, ensuring compliance across the organization.
Assist in providing regular updates to the line Manager on permit/inspection status, potential delays, and emerging regulatory changes.
Conduct thorough physical inspections of security measures and protocols at various sites to ensure compliance with security standards and regulations.
Identify vulnerabilities or areas of improvement and work with relevant teams to implement corrective actions to enhance site security.
Complete other assigned tasks as required in a timely manner.
People Management Responsibilities:
This role typically does not involve direct people management responsibilities. However, the executive may be required to work collaboratively with other team members and support their tasks as needed.
Strategic Responsibilities:
Contribute to the analysis of the security permit/inspection application process, identifying areas for improvement to enhance efficiency and reduce processing times.
Collaborate with the line manager to stay informed about changes in regulations and adapt the application process accordingly.
Higher Diploma in a relevant field such as Business Administration, Public Administration, Security Management, or a related discipline.
Familiarity with the permit/inspection application process and understanding of relevant security permit/inspection requirements.
Administrative and organizational skills to assist in managing the permit/inspection process efficiently.
Proficiency in assisting with the preparation of permit/inspection applications and associated documentation accurately.
Ability to collaborate with government agencies and external partners to track permit/inspection status and facilitate timely approvals.
Strong attention to detail to assist in maintaining accurate records and tracking permit/inspection status.
Effective communication skills to offer guidance and support to other departments regarding permit/inspection requirements.

Security Permit/Inspection Administration Support: Previous experience in providing administrative support for security permits administration is essential. The candidate should be familiar with the permit/inspection application process, documentation requirements, and tracking permit status.
Regulatory Compliance Support: Demonstrated experience in assisting with understanding and interpreting local and/or international security regulations is crucial. The supervisor should be familiar with supporting compliance efforts related to permit/inspection applications.
Permit/Inspection Application Support: Experience in assisting with the preparation and submission of Permit/Inspection applications, coordinating with stakeholders to gather required information, and tracking application progress.
