Job Description

The Officer – Group Operations supports the Vetting Desk in two areas: vessel vetting (RightShip, Q88 and related questionnaires) and ship security (ISPS Code). The role tracks inspections, keeps vetting and security records up to date, follows up on findings until closed, supports Ship Security Plan work, security intelligence and guidance for vessels in high-risk areas, and reports compliance status to management. The role works to set procedures under the guidance of the Operations Manager.

ROLES ACCOUNTABILITIES:

Vetting

• Upload inspection reports, findings, RCAs and CAPs to the RightShip portal and internal databases accurately and on time.
• Follow up with ship staff and business units on corrective actions until all findings are closed.
• Prepare, update and submit Q88, Baltic Questionnaire and other vetting questionnaires, and keep vessel certificate records current.

Ship Security

• Assist in preparing and amending Ship Security Plans (SSPs), including collecting vessel data and updating GA Plans after flag or class changes.
• Send standard security guidance to vessels entering high-risk areas; track vessel reporting deadlines and send reminders.
• Draft and send CSO messages and security circulars; keep the PMSC list up to date.
• Support vessels preparing for ISPS audits, RightShip inspections and dry docks with documents and follow-up.
• Collect and map maritime security intelligence from threat feeds, advisories and incident reports; brief the desk on risks to fleet vessels and trading routes.
• Manage day-to-day contact with ship staff, business units, CSOs, security providers and external authorities on security matters.

Reporting and Administration

• Prepare regular reports and dashboards on inspection status, findings trends, Safety Score and security compliance.
• Maintain files, databases and SOPs; track invoices for desk services; take part in process improvement and training.
• Take on additional roles or desk processes, or move internally within Group Operations, as business needs require.

Requirements

KEY SKILLS AND CAPABILITIES:

Technical skills

• Working knowledge of the ISM and ISPS Codes, ship security plans and guidance for high-risk areas.
• Understanding of RightShip inspections, Q88 and vetting questionnaires, and the RCA and CAP process.
• Maritime security intelligence mapping: tracking threats and incidents and relating them to fleet routes.
• Use of AI tools and a sound understanding of data; MS Office 365 and Power BI or similar.

Professional skills

• Project management and project support: planning, tracking actions and reporting progress.
• Good written and spoken English; clear, confident dealings with internal and external stakeholders.
• Well organised and accurate; handles confidential documents securely and manages several deadlines at once.

PROFESSIONAL EXPERIENCE AND EDUCATION:

• Master's degree in International Business or International Relations.
• Bachelor's degree in Maritime Studies, Political Science or Business Administration.
• 1–2 years in ship management support, vetting, maritime security or compliance. Freshers keen to learn may be considered.
• Knowledge of RightShip procedures, Q88 or the ISPS Code preferred.
