As a Centre Support Officer, you will be responsible for providing professional front-line support, answering enquiries and providing accurate information to customers via the phone, email and internet.

This role will provide effective office administrative support to multiple My First Skool centres from HQ. You will also be responsible for answering inquiries and providing accurate information to customers via phone and follow-up with emails.


Job Responsibilities:

Administrative Support

Supporting My First Skool centres with every child transactions into SkoolNet, LifeSG and CMS. This will include:

  • Childrens' Transactions: Enrolments, Subsidies, Withdrawals, Transfers, Notification of Changes, Special Approvals, Student Pass Applications, Promotion of Children
  • Purchases: Uniforms and Mattress covers (SUG cases), Field Trips, Late Fine, K2 Graduation, DSP, etc
  • Finance Related: Status of GIRO applications, Invoice Checks, Statement of Account (SOA) discrepancies (if any)
  • Subsidy outcomes and necessary timely follow-ups in CMS for all new and existing cases
  • Update of School Fees Changes in CMS at the child level (yearly) and when required, ad-hoc
  • Monitoring of Vacancy Status in Skoolnet for Transfers and liaison with Enrolment Advisors
  • Checking and removal of Marketing Promotions to support enrolment marketing efforts
  • Retrieval and verification of documents, and adjustment of invoices in Skoolnet and CMS for audit purposes
  • Handles queries from existing and new parents to provide support whenever needed
  • Liaise with both external and internal stakeholders such as ECDA subsidy officers, licensing officers, and financial assistance officers to facilitate and resolve enrolment and subsidy/financial assistance application issues. Internal stakeholders include HQ colleagues such as Finance, CSS, HR, etc

Financial Assistance Support

  • Determine if parents qualify for Financial Assistance
  • Offer the correct form of assistance and guide parents on the documentation needed

Reconciliation

  • GSII Reports (Subsidies)
  • Follow-up on discrepancies and ensure tallying of any over-payment or under-payment of subsidy in CMS and subsidy adjustments in Skoolnet

Calls/Email/SMS

  • Shift work: 0730am - 0500pm / 0800am - 530pm / 0900am - 700pm
  • Provide interim and closure calls/emails/sms inquiries from existing and new parents
  • Support hotline team to handle incoming calls for peak hour/periods
  • Attend to all emails especially appeals promptly with the necessary drafts and approvals requiring special attention to relevant parties and ensure that they are followed up accordingly till closure

Any other ad hoc duties, such as assisting to buddy new staff when required.

Job Requirements:

  • Minimum GCE 'O' Level or equivalent qualification, with at least 2 years of relevant experience in administrative support
  • Prior experience assisting parents with subsidy-related matters in a childcare centre setting will be advantageous
  • Possess good customer service skills and strong attention to detail
  • A team player with a positive attitude and willingness to learn and support others
